Position Purpose and Summary

 

 

This position is assigned to the Kickapoo Tribe of Oklahoma Education Department. Normal operating hours are Monday through Friday, 8:00 A.M. to 5:00 P.M.; however, some evening and weekend hours may be required for programs, activities, and special events.

The purpose of this position is to provide Johnson O’Malley (JOM) Program services and support for eligible Native American students while assisting with the effective day-to-day operations of the Education Department.

The JOM Coordinator/Education Support position will work closely with the Education Director to assist with program coordination, student services, departmental projects, events, reporting, and other duties as assigned.

Qualifications:

The duties and responsibilities of this position include, but are not limited to, the following:

Essential Duties and Responsibilities

  1. Administer the Johnson O’Malley (JOM) Program in accordance with applicable program guidelines, policies, rules, and regulations.
  2. Identify eligible JOM students in grades Pre-K through 12th grade and ensure required documentation is maintained for each student in compliance with federal requirements.
  3. Coordinate JOM services with McLoud, Jones, and White Rock Public Schools, including collaboration with school administration, staff, and officials.
  4. Purchase, distribute, and maintain accurate inventory records of school supplies and materials for JOM students.
  5. Schedule, coordinate, and participate in JOM Parent Committee meetings, school-related activities, community meetings, and events.
  6. Provide clerical and administrative support for the JOM Parent Committee.
  7. Maintain JOM budget records, student applications, and program files.
  8. Submit JOM applications, forms, bylaws, and educational support guidelines to the JOM Parent Committee for review and annual approval.
  9. Prepare and provide monthly reports to the Education Director and JOM Parent Committee.
  10. Attend school events, Indian Education meetings, trainings, and other program-related activities.
  11. Attend local and out-of-state trainings and conferences as required.
  12. Develop, organize, and coordinate school supply distribution events, workshops, cultural activities, wellness programs, and educational opportunities for JOM students and families.
  13. Perform daily administrative duties, including answering phones, assisting visitors, maintaining files, and supporting Education Department operations.
  14. Promote positive public relations and maintain professional relationships with Tribal Members, employees, students, families, schools, and community partners.
  15. Maintain confidentiality and exercise discretion when handling sensitive information, student records, and departmental documents.
  16. Perform special assignments related to department operations, program goals, policies, and administrative needs.
  17. Independently research, evaluate, and assist with resolving issues related to assigned tasks and program responsibilities.
  18. Schedule meetings, coordinate appointments, and maintain calendars as needed.
  19. Prepare requisitions and assist with purchasing processes for JOM and Education Department programs.
  20. Scan, copy, organize, and maintain electronic and physical records.
  21. Prepare correspondence, emails, reports, and other written communications.
  22. Organize, host, and facilitate meetings, activities, workshops, and special events as assigned.
  23. Research information and collect data needed for reports, meetings, events, presentations, and correspondence.
  24. Implement and maintain student tracking systems for program services, funding records, student data, and other required program information.

The incumbent must be flexible to undertake a variety of miscellaneous duties as assigned by the supervisor or team leader.

 

Minimum Mandatory Qualifications

Experience/Education: (Minimum Requirements)

High school diploma or GED equivalent required.

Two (2) years of experience performing clerical or administrative duties and working with clients, students, schools, and families preferred.

 

Additional Qualifications:

  • Ability to use Microsoft applications and other applications such as Canva, Zoom, or Teams.
  • Ability to handle multiple tasks and priorities in a constantly changing environment.
  • Exceptional people skills (customer service), ability to resolve client or student issues and concerns.
  • Must have excellent verbal and written communication skills, including the ability to conduct presentations and speak effectively in public settings as needed.
  • Ability to effectively work with students in grades Pre-K through 12th grade.

 

Mandatory Requirements:

  • Must have and maintain a valid Oklahoma driver's license.
  • Must submit to and pass pre-employment and random screenings throughout employment.
  • Must complete an OSBI/Federal background investigation including fingerprinting, must have favorable adjudication.

 

Work Environment

The employee must have the ability to work effectively under pressure in a fast-paced environment while maintaining a calm, professional, and respectful demeanor. The employee must exercise sound judgment, respond appropriately to situations, and use tact and professionalism when communicating with Tribal Members, visitors, staff, business associates, and community partners.

This position requires the ability to manage multiple priorities, meet deadlines, and interact with a wide variety of individuals regarding complex, sensitive, and diverse situations.

The work environment characteristics described herein are representative of those an employee may encounter while performing the essential functions of this position. Normal office conditions exist; however, the position may include frequent interaction with Tribal Members, visitors, other programs, and service providers. The employee must be able to adapt to changing priorities, interruptions, and periods of increased workload.

Additional work hours may be required as needed to meet program needs, deadlines, and organizational responsibilities.

The physical demands described herein are representative of those required to successfully perform the essential functions of this position. While performing job duties, the employee is frequently required to stand, walk, sit, bend, talk, hear, and listen. The position may require prolonged periods of sitting, keyboarding, reading, and standing.

The employee must occasionally lift and/or move up to fifty (50) pounds. Effective communication, including verbal communication and active listening, is essential when interacting with Tribal Members, clients, staff, and peers.

The employee must always maintain professionalism and represent the Kickapoo Tribe of Oklahoma in a positive and respectful manner.

  • Uphold the Policy and Procedures of the Kickapoo Tribe of Oklahoma and associated programs services.
  • Comply with all Kickapoo Tribe of Oklahoma Policies and Procedures.
  • To report and document accidents/injuries immediately to the supervisor.
  • Maintain high standards of personal appearance and grooming.
  • Attends all scheduled employee meetings/trainings and brings suggestions for improvement.
  • Must reply and respond, when necessary, to all incoming departmental calls and work phone calls within a two (2) hour time frame to maintain communication.
  • Maintain a tracking system for all incoming/outgoing education clients on an on-going basis.

At-Will Employer

In reference to Personnel Policy, Section 1-24, Employment At-Will.  All employees who do not have a written contract with the employer for a specific fixed term of employment are thereby employed at the will of the employer for an indefinite period. Employment with the Kickapoo Tribe, without a written contract, is voluntary and therefore employees are free to resign at any time with or without cause or reason.  Likewise, the Tribe may terminate the employment relationship at any time with or without notice and for any lawful reason deemed appropriate by the Tribe for good cause, bad cause, or no cause at all.  This policy is commonly referred to as “employment-at-will.”
