Position Overview

The LESS Society and KIC Ventures are seeking a highly organized, relationship driven, and customer service focused Physician Training and Onboarding (PTO) Specialist to elevate the physician experience before, during, and after our VET Tour physician training programs in Florida.

This role is critical to building a premium physician onboarding and educational experience that reflects the innovation, professionalism, and educational leadership of the LESS Exposure Spine Surgery philosophy. The PTO Specialist will serve as the physician relationship lead throughout the entire training journey, ensuring doctors feel prepared, valued, engaged, educated, and supported from first contact through post training follow up and conversion into active users of NANISX technologies and LESS educational programs.

This individual will work closely with Shweta, our VET Tour Coordinator, who manages scheduling logistics including flights, hotels, cadaver labs, transportation, cadaver delivery, and training dates.

The PTO Specialist will fill a critical gap by improving physician preparation before the VET Tour, relationship management during the training experience, and structured follow up after the lab to ensure continuity, engagement, and measurable outcomes.

This role will support both:

  • The LESS Society mission of physician education, CME development, and advancing LESS Exposure Spine Surgery
  • KIC Ventures' commercialization and physician onboarding initiatives

Core Responsibilities

Physician Qualification and Onboarding

  • Conduct physician discovery and qualification calls before approval for VET Tour participation
  • Schedule and coordinate mandatory physician video conference onboarding calls before training
  • Assess physician goals, experience level, practice profile, procedural interests, and educational needs
  • Help determine whether the physician is an appropriate candidate for a VET Tour and identify the optimal timing for participation
  • Communicate the educational and clinical benefits of the program based on physician specific needs
  • Coordinate physician onboarding workflows and maintain onboarding timelines

Physician Experience and Relationship Management

  • Serve as the primary physician relationship lead before, during, and after VET Tour training programs
  • Build strong relationships with physicians, practice administrators, fellows, and office staff
  • Ensure physicians are fully prepared and informed prior to attending the VET Tour
  • Deliver a concierge level onboarding and communication experience
  • Anticipate physician needs and proactively solve problems
  • Ensure physicians feel welcomed, valued, and engaged throughout the process

CRM, Data Collection, and Physician Profiling

  • Build detailed physician profiles within CRM systems
  • Collect physician practice data, procedural interests, technology needs, training goals, and adoption readiness
  • Track physician interactions, engagement, educational milestones, and follow up activities
  • Develop and manage physician questionnaires, surveys, and feedback systems before, during, and after training
  • Gather physician insights to help improve educational programs, commercialization strategies, and customer engagement
  • Coordinate data collection supporting CME initiatives, physician education outcomes, and future research opportunities

Pre Training Preparation

  • Coordinate with physicians prior to arrival to ensure readiness and alignment
  • Confirm expectations, training goals, case interests, and educational objectives
  • Ensure physicians receive timely agendas, educational materials, travel information, and onboarding communications
  • Work alongside sales leadership, physician education teams, and clinical specialists to improve physician engagement before the training event
  • Ensure physicians understand the purpose, expectations, and benefits of attending the VET Tour

On Site VET Tour Management

  • Be physically present during VET Tours and cadaver training labs
  • Welcome and host physician attendees throughout the experience
  • Help manage schedules, transitions, physician interactions, and overall training flow
  • Ensure physicians have a premium educational and customer service experience
  • Identify opportunities to strengthen physician relationships and engagement during the event
  • Support faculty physicians, educational teams, and visiting attendees during training activities

Post Training Follow Up and Physician Conversion

  • Own and improve post VET Tour physician follow up processes
  • Coordinate follow up communication, evaluations, surveys, onboarding support, and next step planning
  • Ensure continuity between physician training and clinical adoption pathways
  • Track physician engagement, interest level, and training outcomes
  • Partner with sales, marketing, and clinical support teams to support physician conversion into active users
  • Maintain consistent physician communication after training to strengthen long term relationships and loyalty

Cross Functional Collaboration

  • Work closely with:
  • Shweta and VET Tour operations
  • LESS Society physician education leadership
  • Sales and business development leadership
  • Clinical support specialists
  • Marketing and physician engagement teams
  • CME and educational program development teams

Qualifications

  • Bachelor’s degree preferred
  • Experience in medical device, healthcare, hospitality, physician relations, clinical education, or customer success preferred
  • Strong organizational, communication, and interpersonal skills
  • Ability to manage multiple physician relationships and projects simultaneously
  • Exceptional customer service mindset with strong emotional intelligence
  • Comfortable working in cadaver labs, physician education environments, and clinical training settings
  • Strong attention to detail and follow through
  • Ability to travel locally throughout South Florida as needed

Preferred Experience

  • Experience supporting physician training programs or medical education events
  • Background working with surgeons, interventional pain physicians, ambulatory surgery centers, or physician practices
  • Experience with CRM systems, physician onboarding workflows, and customer engagement tracking
  • Experience with surveys, physician profiling, and customer intelligence gathering
  • Familiarity with CME programs, clinical education, or nonprofit medical education organizations
  • Experience in medical device sales support, physician onboarding, or physician relationship management
