Summary:
The Receptionist / Administrative Assistant represents our company as the first point of contact for visitors, clients, and vendors. This role ensures a courteous, professional, and efficient flow of communication throughout the company while providing vital administrative support to multiple departments. The ideal candidate will be organized, detail-oriented, and able to multitask in a dynamic office environment. This position operates under moderate supervision and plays a key role in maintaining a positive and professional front office experience.
Essential Duties and Responsibilities
- Greet and assist all visitors, clients, and vendors in a friendly, professional manner.
- Promptly answer, screen, and direct incoming phone calls to the appropriate team members, or take accurate messages when necessary.
- Operate the company’s multi-line phone system and manage internal call transfers and messages.
- Provide accurate information and respond to routine inquiries.
- Manage the showroom appointment calendar.
- Receive and distribute mail, packages, and deliveries.
- Politely sign in all visitors in accordance with company policy.
- Maintain confidentiality and professionalism when handling sensitive information.
- Perform general administrative and clerical support including data entry, filing, scanning, scheduling, and document preparation.
- Assist with collecting, processing, and recording customer payments over the phone or in person.
- Contact customers for outstanding or scheduled payments as directed by management.
- Help prepare and organize conference rooms for meetings—including setting up refreshments, technology, and materials as needed.
- Coordinate schedules for conference and meeting rooms to ensure proper booking and availability.
- Support internal communications by sending announcements, reminders, or meeting notices as requested.
- Assist with maintaining showroom organization and inventory of supplies.
- Support administrative functions across departments as needed.
- Follow all company policies and procedures.
- Contribute to a positive, team-oriented work environment.
- Demonstrate punctuality, reliability, and attention to detail in all aspects of work performance.
- Communicate clearly and courteously with internal staff, customers, and external partners.

Education and/or Experience
- High school diploma or equivalent (GED) required.
- Minimum 2 year of customer service or administrative experience preferred.
- Proficient in basic computer applications (Microsoft Office, email, and phone systems).
- Ability to read and comprehend simple instructions, correspondence, and memos.
- Strong interpersonal and communication skills; able to work effectively with a wide range of personalities.
- Must demonstrate professionalism, courtesy, and discretion at all times.
