Summary: The Payroll Specialist is responsible for ensuring accurate and timely processing of payroll for all employees within the organization. This role requires strong attention to detail, compliance with federal, state, and local regulations, and the ability to handle multi-state payroll complexities. Summary: The Payroll Specialist is responsible for ensuring accurate and timely processing of payroll for all employees within the organization. This role requires strong attention to detail, compliance with federal, state, and local regulations, and the ability to handle multi-state payroll complexities. The Payroll Specialist will collaborate closely with HR and Finance teams to maintain payroll integrity and support organizational goals. Key Responsibilities: Payroll Processing:
- Process bi-weekly or semi-monthly payroll for all employees, including timesheet verification and adjustments
- Ensure compliance with federal, state, and local tax regulations
- Manage garnishments, deductions, and benefit contributions accurately
- Prepare and submit payroll tax filings and reports (e.g., W-2, 941, 1099)
- Maintain accurate payroll records and documentation for audits
- Stay current on payroll laws and nonprofit-specific regulations
- Utilize payroll software (e.g., UKG, Dayforce, ADP) for processing and reporting
- Support ERP or HCM system transitions and implementations as needed
- Respond promptly to employee inquiries regarding payroll, deductions, and tax withholdings
- Provide guidance on payroll policies and procedures
- Work closely with HR and Accounting teams to reconcile payroll with general ledger
- Assist with special projects, including grant-related payroll allocations and compliance reporting
- Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred
- Proven experience in payroll processing; Experience with UKG is strongly preferred
- Knowledge of payroll compliance requirements, including tax filings and labor regulations
- Strong understanding of payroll accounting and journal entries
- Proficiency in Microsoft Office Suite (Excel required); experience with payroll systems and reporting tools
- Excellent attention to detail, organizational skills, and ability to meet deadlines
