Keystone Structural Group (KSG Engineers) is seeking a responsible, detail-oriented individual to assist with administrative and billing support for our growing civil and structural engineering firm.
This role supports day-to-day office operations and project billing, helping keep our engineers, project managers, and clients running smoothly.
We are open to either:
- Part-time candidates (approximately 20–25 hours per week, flexible within Monday–Friday), or
- Full-time candidates (up to 40 hours per week) for someone looking for a long-term position.

Job Responsibilities
- Provide support to office management
- Assist with executive communications, including taking messages and/or responding to emails
- Provide managers with support in the development of project proposals, including typing, writing and proof reading.
- Assist managesr with customer invoicing/billing – training will be provided.
- Assist manager with bookkeeping activities – training will be provided.
- Assist in maintaining electronic filing system, company data and internal project management/task system.
- Scan, copy, print, bind documents.
- Gather incoming mail and distribute correspondence.
- Purchase and maintain inventory of office equipment and supplies.
- Assist with events to take place outside of the workplace.
- Occasionally assist with scheduling events, parties, travel arrangements, placing lunch orders for internal meetings.
- Assist in maintaining, editing, and organizing marketing materials.
- Order office and kitchen supplies.
Minimum requirements include:
- Qualified candidates will have previous administrative support experience in a busy office setting
- Experience with BQE Core (formerly BillQuick) is a major plus
- Computer skills – Proficient in MS Office
- High School diploma or higher
- Ability to multitask, prioritize daily workload, and work effectively within a team
- Excellent verbal and written communications skills
- Discretion and confidentiality
- Knowledge of engineering, architecture and/or construction industry a plus
Job Types: Full-time, Part-time
Pay: $19.00 - $27.00 per hour
Expected hours: No more than 40 per week
