Job Summary
We are seeking a dynamic and highly organized Legal Assistant/Office Manager to join our legal team. This vital role combines administrative excellence with legal support, ensuring the smooth operation of our law office while providing comprehensive assistance across a variety of legal practice areas. The ideal candidate will be proactive, detail-oriented, and possess a passion for delivering exceptional organizational and legal support to help us serve our clients efficiently and effectively. Duties

  • Provide executive administrative support by managing calendars, scheduling appointments, and coordinating meetings for attorneys and staff.
  • Oversee legal case management systems such as PCLaw, iManage, and Document Management Systems to organize case files, track deadlines, and ensure data accuracy.
  • Conduct legal research using Westlaw, LexisNexis, and other research tools to assist attorneys in case preparation and strategy development.
  • Draft, review, proofread, and edit legal documents including contracts, pleadings, correspondence, and reports with precision and clarity.
  • Manage document review processes and perform data entry tasks to maintain accurate records of client information and case details.
  • Facilitate communication with clients via phone etiquette, email correspondence, and in-person interactions while maintaining professionalism at all times.
  • Coordinate with external vendors or service providers for document review or legal research projects related to estate planning, tribal law & regulations, securities law, immigration law, workers' compensation law, personal injury law, patent law, environmental law, landlord-tenant law, family law, UCC law (Uniform Commercial Code), and litigation matters.
  • Organize filing systems—both physical and electronic—ensuring compliance with confidentiality standards and ease of access for team members.
  • Support attorneys in preparing for court filings or hearings by reviewing documents for accuracy and completeness.
  • Assist in project management tasks related to ongoing cases or legal initiatives to ensure deadlines are met efficiently.

Requirements

  • Proven experience as a paralegal or legal assistant within a busy law office environment; familiarity with multiple practice areas such as estate planning, environmental law, family law, securities law or tribal regulations is highly desirable.
  • Strong knowledge of legal research tools including Westlaw and LexisNexis; experience with legal case management software like PCLaw or iManage is preferred.
  • Excellent organizational skills with the ability to manage multiple priorities simultaneously while maintaining attention to detail.
  • Proficiency in document drafting, proofreading, transcription services, and contract review.
  • Demonstrated ability to handle administrative tasks such as data entry, filing (physical and electronic), phone etiquette, and clerical support efficiently.
  • Experience using document management systems and familiarity with data entry protocols in a legal setting.
  • Exceptional communication skills—both written and verbal—and the ability to interact professionally with clients and team members alike.
  • Strong research skills coupled with the ability to synthesize complex information into clear summaries or reports.
  • Knowledge of various practice areas including land use & zoning laws (UCC law), immigration procedures, workers’ compensation regulations, patent procedures or securities compliance is a plus.
  • Ability to adapt quickly in a fast-paced environment while maintaining high standards of accuracy and confidentiality.
