PURPOSE

JOB SUMMARY
Incumbent will primarily be responsible for working at the front desk with secondary responsibilities as Dental Assistant. Daily duties include but are not limited to reception, patient check-in and out, insurance duties, referrals, and managing multiple schedules. Applicants should be task oriented, self-starting, and hard-working with excellent communication skills.

ESSENTIAL JOB FUNCTIONS

Receptionist
Welcomes and provides information to visitors, vendors, and tribal members either in person, phone, or social media. Receives incoming correspondence and packages and routes to appropriate party.

Receives telephone calls for dental staff from patients and visitors. Screens call for nature of contact and respond to questions or direct the patient / visitor to the appropriate department or employee. Prioritizes all incoming calls and immediately refers the call to the appropriate personnel as needed
Manages Dental Clinic patient schedule, completes appointment reminder phone calls,, records no show, referrals, and other pertinent statistics, and maintains a patient call-in log. Maintains lab cases and schedule accordingly.

Skill in communicating both in oral and written format to effectively interact with internal and external parties to obtain insurance information, verify data, coordinate actions, and resolve problems.

Attends and participates in appropriate administrative committee meetings. Teamwork's with other administrative staff in preparation, participation, and closure of public meetings.

Ensure cleanliness of the Dental, including all work surfaces, and shelving. Provides general clerical support for the department including answering phones, filing, typing, office supply ordering, and general errands.

Incumbent may assist with inventorying and ordering supplies and medications, and maintains a working relationship with vendors. Unpacks all dental supplies upon delivery and re-stocks the department daily. Work is performed independently and anticipates when supplies need to be re-ordered. Is responsible for adequate inventory levels.

Performs Quality Assurance activities to include monthly outdate checks, dental storage area inspections, refrigerator temperature monitoring, Dental machine accuracy, and other activities that may be necessary.

Dental Assistant
Incumbent has significant customer contact - assist patient at Dental window, answer telephones, The Dental Assistant maintains dental equipment in a clean and operative condition and properly stores and maintains adequate supply levels. Lays out all instruments and materials needed for each treatment and prepares patient and operator.

Assists dentist at chair-side as required in all phases of general dentistry, utilizing techniques for four-handed sit-down dentistry. Passes instruments and materials to and retrieves them from the dentist; keeps intra-oral area of operation clear using high speed evacuator, suction tip and irrigation; retracts tissue, tongue and cheek. In surgical procedures maintains aseptic condition, stabilizes tissue for dentist and cuts sutures. Keeps alert to condition of patient during treatment for signs of fainting, shock or other distress.

Operates dental x-ray equipment to take intra and extra-oral radiographs. Pours and trims models for impressions and constructs custom impressions trays.

Takes preliminary impressions for study models, removes sutures and places / removes rubber dams.

Obtains and records pre-operative and post-operative pressure and pulse of oral surgery patients as instructed by dentist or indication of hypertension in patient medical history.

Relays dentist' instructions to patient for post-treatment care. Instructs patient in brushing / flossing techniques and care of prosthodontics appliances. Records information relayed by dentist on prescriptions and other forms for dentist signature. Schedules follow-up appointment(s) as necessary.

KNOWLEDGE, SKILLS, AND ABILITIES
  • Knowledge of accounting, versed in office and reception protocols;
  • Knowledge and highly skilled in the use of Microsoft Office Suite;
  • Knowledge of chairside dental assisting;
  • Knowledge of general dentistry aspects;
  • Knowledge of the Health Insurance Portability and Accountability Act (HIPAA);
  • Skill to operate software programs; specifically medical and dental
  • Skilled in customer service and communication to ensure patients feel comfortable before, during, and after appointments;
  • Skilled in administering dental x-rays;
  • Skilled and proficient with dental, scheduling, office and other software;
  • Ability to organize to make the dentist job easier and ensure all procedural trays are in place in advance;
  • Ability to interpret, monitor and enforce Dental standards;
  • Ability to communicate professionally over the telephone and in person in a positive and clear manner;
  • Ability to manage multiple tasks, including telephone, computer operations and in-person visits simultaneously;
  • Ability to take verbal instruction and complete assigned project by established deadline;
  • Ability to be flexible in order to perform at the highest level as a team player;
  • Ability to utilize maximum degree of professionalism and diplomacy with those who may be experiencing a high degree of stress both mentally and/or physically (both patients and co-workers);
  • Ability to work independently with minimal supervision and able to prioritize assignments;
  • Ability to maintain confidentiality of all KIC operations and staff.

QUALIFICATIONS

Licensure
Possess current valid State of Alaska driver's license with a record acceptable to KIC's Insurance carrier.

Education / Experience
High school diploma or equivalent required. Dental Assistant Certification preferred.

Work that demonstrates the ability to perform the duties of the position or other work that indicates the ability to acquire the particular knowledge and skills needed. Public customer service preferred.
