The Client Services & Onboarding Specialist plays a key role in delivering a seamless, high-touch client experience. This role leads the onboarding process from initial engagement through account setup, supports complex client service needs, and ensures all client interactions are handled with accuracy, care, and professionalism.
Working within our Ensemble Practice Model, this individual collaborates closely with advisors, operations, and internal teams to support client relationships, manage workflows, and contribute to the overall success of the firm.

Working within our Ensemble Practice Model, this individual collaborates closely with advisors, operations, and internal teams to support client relationships, manage workflows, and contribute to the overall success of the firm.
What you’ll Do:
- Lead client onboarding from initial engagement through full account setup
- Serve as a primary point of contact for onboarding coordination and follow-up
- Participate in client meetings, providing updates and ensuring action items are completed
- Oversee client offboarding, including account closures, asset transfers, and final documentation
- Coordinate and support estate and death claim processes with professionalism and care
- Handle complex client service requests and resolve non-routine issues independently
- Process account maintenance, documentation, and custodial paperwork with accuracy
- Support advisor scheduling and client meeting coordination as needed
- Collaborate across teams to ensure consistent, high-quality client service
- Maintain accurate records and uphold strict confidentiality standards
- Contribute to process improvements and team training as appropriate
- Manage scheduling for select advisors
- Strong organizational and time management skills with the ability to manage multiple priorities
- Excellent attention to detail and follow-through
- Strong written and verbal communication skills
- Ability to work collaboratively while managing tasks independently
- High level of professionalism and discretion when handling sensitive information
- Emotional intelligence and ability to navigate complex client situations
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams)
- Ability to learn and work within CRM systems and financial platforms
- Bachelor’s degree or equivalent experience
- Minimum 4 years of administrative, client-facing experience
- Minimum 2 years of financial services experience preferred
- Experience with onboarding, account servicing, or client operations strongly preferred
- FPQP® designation required (can be obtained on the job)
- Full-time, in-office position
- Parking provided by the firm
