What are the responsibilities and job description for the Gift Records Administrator position at Kent School Corporation?
Reporting to the Director of Advancement Services and Operations, the Gift Records Administrator is responsible for overseeing all aspects of gift recording, processing, and gift fund management, as well as managing fund proposals and opportunities. This individual will serve as a key partner to the Alumni and Development Team and the Business Office. This is a full-time calendar year staff position. The specific duties and responsibilities include, but are not limited to:
Gift Processing and Reporting:
- Process credit card and check donations.
- Process of all gifts or stock/securities/gifts-in-kind.
- Maintain accurate donor data within Raiser’s Edge (as it pertains to gift constituency, gift designation/fund, appeal, amount, date, etc.)
- Batch gifts for review and then commit them to Financial Edge.
- Produce and distribute comprehensive weekly and monthly reports on gift activity.
- Monitor recurring gifts coming to an end and failed credit card gift transactions, partnering with the fundraising team to ensure fulfillment of the gift.
- Track pledges and send email and printed reminders.
- Draft and prepare gift agreements for signature in partnership with frontline fundraisers.
- Coordinates with team members on the tracking and documentation of planned gifts.
- Complete matching gift applications and run matching gift analysis to drive follow-up.
- Train and support alternative staff member(s) to process gifts.
Reconciliation:
- Serve as a partner and liaison to the Business Office to coordinate and verify all gift accounts and batches.
- Create new fund records within Raiser’s Edge and clean up existing funds, in accordance with donor intent and database standards, and the school’s Business Office policies.
- Communicate with the business office to ensure accurate information/reporting regarding donations and contributions.
- Act as the central liaison for the department’s DASL data collection efforts, overseeing all associated data gathering, analysis, and reporting.
Gift Acknowledgement:
- Collaborate with the Director of Donor Relations to produce gift receipts and donor acknowledgments across varying levels of recognition and in a timely manner.
Advancement Team:
Provide support for other Alumni and Development functions and activities such as needed, including but not limited to:
- Reporting for the Board of Trustees/Annual Surveys/Fundraising and Financial Reporting.
- Registers event registration revenue, sponsorships, and donations related to events.
- Partnering with members of the Advancement team, supports seamless event registration by maintaining accurate participant data and ensuring smooth integration within the CRM system.
- Assist the Advancement Services team in maintaining database accuracy and integrity.
- Supporting key events on campus, including, but not limited to: Fall Alumni Weekend, Family Weekend, and Reunion Weekend.
Qualifications:
- Undergraduate degree in accounting and/or strong accounting skills are required.
- Experience with gift processing and/or Blackbaud Raiser’s Edge or similar CRM database is a plus.
- Possess a high degree of professional discretion, integrity, good judgment, and high standards of professional conduct.
- Proven ability to juggle multiple tasks simultaneously, prioritize multiple requests, work proactively and strategically, and meet deadlines.
- Strong written and verbal communication skills.

- Maintain PCI compliance.
- Maintain punctual and regular attendance.
- Successful completion of post-offer, pre-employment criminal background check and drug test.
- Work is performed on a smoke-free campus.
