BROAD STATEMENT OF RESPONSIBILITIES:
Responsible for managing all aspects of the enrollment and scheduling process for Kent ISD Secondary Programs, specifically for MySchool@Kent, in collaboration with other registrars on the Kent ISD campus. Also responsible for the maintenance of academic transcripts and records (grades) of past and current students. Additionally, this position helps lead orientation and support for new students as well as assisting with summer school registration and records.
SPECIFIC DUTIES AND RESPONSIBILITIES:
- Forms positive relationships with local education authority (LEA) registrars and counselors across Kent County and assists them in understanding the enrollment process and providing technical assistance for the online enrollment request system.
- Maintains the enrollment database and master schedule for MySchool@Kent.
- Responds to inquiries about enrollment process from students, parents, LEA personnel, private school personnel, homeschool parents and provides assistance in a courteous and professional manner.
- Prepares correspondence (e.g., records, reports, letters, etc.) as related to enrollment processes and record keeping functions, makes copies, and files documents as required by policy/law and as requested by administration.
- Enters data and log entries into the Student Management System (SMS) for a variety of purposes (course requests, course changes, adds, drops, student/parent demographics, grades, etc.).
- Creates and maintains out-of-county cooperative agreements pertaining to enrollment and billing.
- Prepares reports, extracts data, organizes data, and formats data for a variety of purposes.
- Manages grade and transcript reporting.
- Assists with event planning and coordination for a variety of events (enrollment breakfasts, counselor outreach, open houses, etc.).
- As part of a team, runs weekly orientation for groups of returning and new students throughout the school year.
- Orientates individual students as needed.
- Reaches out to students, parents, and LEAs to follow up on new students and their needed supports.
- Conducts tours of MySchool@Kent.
- Supports pupil accounting procedures with communication and documentation.
- Participates in staff meetings and professional development opportunities as provided by MySchool@Kent.
- Performs other duties as assigned by the Principal or designee.
KNOWLEDGE, SKILLS, & ABILITIES REQUIRED:
- High school diploma or an acceptable alternative-based high school equivalency, plus minimum six months on-the-job experience is required to develop proper customer service skills and to become familiar with organizational policies and procedures.
- Ability to operate a multi-line telephone and various office equipment such as computer, multi-function copier/printer, folding machine, student identification card printer, etc.
- Strong interpersonal and communication skills to interact effectively with professional/classified staff, LEA personnel, general public, and other visitors to the organization.
- Ability to interpret, comprehend, and follow oral and written instructions in order to perform duties described above.
- Strong organizational skills and the ability to work independently, as well as to schedule and produce work in a timely manner.
- Strong technology and software application skills to include the use of SMS software (PowerSchool), Microsoft Office Suite applications, and knowledge of and experience with using Google and other web-based applications.
- Ability to learn, use, and educate others on the use of online student course content platforms (currently Apex/Edmentum and eDynamic Learning platforms).
- Broad knowledge of Kent ISD operations and policies.
- Maintains a high level of discretion and integrity.
