HUMAN RESOURCES ASSISTANT

General Description

Under general supervision, it provides administrative support and technical duties in the administration of the centralized human resources system, including Employee Benefits, Classification and Compensation, Employee Relations, Performance Management, Recruitment and Selection, and Workers’ Compensation and Risk Management.

Duties and Responsibilities

The functions listed below are those that represent most of the time spent working in this position. Management may assign additional functions as necessary.

  • Assists with day-to-day human resources functions and duties by providing administrative assistance.
  • Participates in employment and recruitment activities such as conducting administering and scoring employment examinations, notifying applicants of examination results, certifying candidates for vacancies, preparing employment contracts, and participating in job fairs and other outreach activities.
  • Develops and implements internal office procedures; recommends changes in procedures or rules to facilitate effectiveness using principles of equity and inclusion in evaluating and determining how those procedures will apply.
  • Acts as a liaison between departments and human resources by corresponding regularly and providing responses to inquiries.
  • Performs various routine clerical duties, utilizing standard office equipment, to include screening incoming calls; taking and transmitting messages; maintaining calendars; scheduling meetings; sending, sorting, and disbursing mail; performing data entry; making photocopies; performing data entry; performing data entry; performing data entry; faxing documents; typing; and word processing.
  • Tracks recruitments and job postings, conduct employment verifications and processes and tracks invoices.
  • Prepares correspondence, various forms, statistical reports, and similar materials in support of human resources tasks.
  • Coordinates and schedules drug testing, background checks, fingerprinting, physical examinations, and training for hires and current employees.
  • Prepares, processes, and maintains files for human resources transactions and related documents, including leave requests and attendance records.
  • Provides information and procedural guidance to applicants and employee inquiries in areas of assigned human resources responsibilities.
  • Performs other duties as required.

Minimum Education and Experience Requirements:

High School diploma or GED equivalent supplemented by specialized courses/training equivalent to completion of one (1) year of college and three (3) years of clerical and or Human Resources experience or any equivalent combination of education and experience. Possession of associate or bachelor’s degree in human resource management, business management, or another related field preferred. Working knowledge of MUNIS ERP also preferred

Additional Requirements:

Basic principles and terminology of employment selection, position classification, salary administration, and staff development. Research methods, techniques, and sources of information regarding human resources administration. Good working knowledge of office terminology, procedures and equipment; Prioritize tasks with respect to importance and deadlines. Adjust priorities and adapt well to changes in assignment and priorities. Interpret and apply personnel laws, codes, rules and regulations appropriately. Use new technology and find ways to apply technology to tasks to increase speed, quality, or create new capabilities. Establish rapport and maintain positive working relationships. Speak clearly and communicate effectively on a one-to-one basis for the purpose of obtaining information. Must pass testing for substance abuse and criminal background investigation. Must maintain a positive work environment by acting and communicating in a manner that promotes harmonious relations with customers, co-workers, and supervisors. Direct deposit of pay required.

  • This is primarily a sedentary office classification although standing in and walking between work areas may be required.
  • Occasionally lifting objects up to 25 pounds.
  • The ability to read printed materials and a computer screen.
  • Hearing and communicating in person, before groups, and over the telephone.
  • Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or calculator.
  • Ability to bend, stoop, kneel, reach, push and pull drawers open and closed to retrieve and file information.
