About the Role:


The Administrative Assistant plays a crucial role in ensuring the smooth and efficient operation of the office by providing comprehensive administrative support to the team. This position is responsible for managing calendars, coordinating meetings, completing paperwork, to optimize the productivity of executives and staff. The role requires meticulous attention to detail in maintaining records and managing multi-line phone systems to facilitate effective communication. By performing general clerical duties, the Administrative Assistant helps create an organized and professional work environment. Ultimately, this position supports the overall success of the organization by enabling seamless administrative processes and fostering effective collaboration across departments.


Minimum Qualifications:



  • High school diploma or equivalent required; associate degree or higher preferred.

  • Proven experience in an administrative or office support role.

  • Proficiency with google suite

  • Strong organizational skills with the ability to manage multiple tasks simultaneously.

  • Excellent verbal and written communication skills.


Preferred Qualifications:



  • Experience with Quickbooks online

  • Familiarity with multi-line phone systems and office communication tools.

  • Knowledge of records management best practices and confidentiality protocols.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

  • Prior experience supporting senior executives or management teams.


Responsibilities:



  • Keeping all orders organized, enter purchase orders, bills, invoices and possibly creating estimates

  • Keeping Kemmco Sales and Kemmco Customs orders organized and correct.

  • Handle multi-line phone systems, directing calls appropriately and responding to inquiries in a professional manner.

  • Perform general clerical duties such as filing, data entry, and managing office supplies to ensure operational efficiency.

  • Maintain accurate records and documentation, ensuring confidentiality and easy retrieval when needed.

  • Support other administrative tasks as needed to assist various departments and improve workflow.

  • using KITS to create visual representations of offices

The required skills such as general administrative capabilities and calendar management are essential for organizing daily schedules and ensuring timely meetings and appointments. Maintaining calendars and arranging meetings require strong attention to detail and the ability to anticipate scheduling conflicts. General clerical skills and records management are used daily to keep the office organized and ensure that important documents are accessible and secure. Handling multi-line phone systems demands excellent communication and coordination skills to provide seamless support to staff and executives. Preferred skills like proficiency in Microsoft Office and experience with google suite to enhance efficiency and allow the Administrative Assistant to manage complex tasks with greater ease.
