JOB TITLE: Receptionist / Accounting Support
FLSA STATUS: Non-Exempt
TELECOMMUTE OPTION: N/A, Shift: Monday – Thursday 530a – 430p
REPORTS TO: Accounting Manager/HR
SUMMARY: Serves as initial contact for all callers and visitors to organization.
DUTIES AND RESPONSIBILITIES:
- Answers, screens, and directs calls on multi-line phone system in a courteous and professional manner; takes messages and/or forwards telephone calls to appropriate employee or voicemail.
- Clears overnight messages each morning and delivers to appropriate employees.
- Meets and greets all visitors; determines their needs and directs them to the appropriate employee/locations.
- Responds to visitors, clients, and employees in a courteous and professional manner.
- Prepares and forwards outgoing mail and packages.
- Orders and maintains supplies and keeps reception area organized.
- Composes and types routine correspondence, as required. Please include HR Manager on ALL correspondence.
- Performs general clerical duties including but not limited to filing, scanning, faxing, and mailing, as required.
- Organizes and maintains file system; travelers and AP payments are to be filed accurately and timely. The filing cabinets are to be kept up to date and files are to be moved, as required.
- Timecard reconciliation includes verifying hours and vacation time, daily and weekly for proper payroll processing.
- Emailing the temp time sheets to the corresponding agencies, weekly.
- Updating the temp tracking spreadsheet with worked hours; maintaining and verifying the worked hours vs. remaining hours accurately based on agency hour requirements.
- Notify proper manager/supervisor and HR Manager when the required hours are within 2 weeks of being met for proper onboarding purposes.
- Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
- Familiar with basic AP/AR and inventory management.
- Assists with special accounting projects, as required.
- Performs other related duties as assigned by management.
QUALIFICATIONS:
- Bilingual, preferred.
- Three years related experience, or equivalent combination of education and experience.
- Acute attention to detail.
