Key Responsibilities
Procurement & Financial Administration
- Develop and manage purchase orders (POs) in alignment with site needs and budgetary guidelines.
- Process accounts payable transactions accurately and timely, ensuring proper documentation and approvals utilizing current systems
- Purchase site supplies in accordance with process and approvals
- Serve as an initial point of contact for contract employees and coordinate with multiple staffing agencies regarding onboarding, scheduling, and general inquiries.
- Collaborate closely with operations to understand staffing needs and scheduling aligns with logistics demands.
- Assist with timekeeping and payroll reporting, ensuring accuracy and timely submission to HR/payroll teams and outside agencies.
- Support employee engagement initiatives including site events, recognition programs, and feedback collection.
- Assist with site-wide communications including bulletin boards, newsletters, and digital signage. Manage site-wide communications including bulletin boards, newsletters, and digital signage.
- Track and report safety metrics, incidents, and compliance documentation in coordination with the Safety team.
- Maintain records and assist with audits and inspections as needed, with a focus on Distribution Center safety protocols and warehouse compliance.
- Partner with site leadership including HR, Safety, and Quality to support cross-functional initiatives and ensure smooth operations.
- Collaborate with warehouse supervisors and logistics managers to align administrative support with operational goals.
- Administer the site’s security badging system, including issuance, tracking, and deactivation of badges.
- Maintain confidentiality and integrity of employee and site data.
- Perform various administrative tasks such as scheduling meetings, maintaining records, ordering supplies, and supporting visitors.
- Take on additional duties as assigned to support site operations and leadership.
- Support other distribution sites as needed with similar administrative tasks as needed to ensure business continuity
- Proven experience in administrative or site coordination roles.
- Familiarity with PO systems, payroll/timekeeping platforms, and safety reporting tools.
- Strong communication and interpersonal skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency in Microsoft Office Suite and other relevant software.
