PRIMARY RESPONSIBILITIES:
- Provide periodic reporting for research projects and programs, including meeting-minute documentation and summary updates to internal and external stakeholders
- Lead data compilation, analysis and organization for scientific projects and programs
- Create both internal and external materials and deliverables in the form of reports, standard operating procedures (SOPs), summaries, and emails
- Develop periodic and special reports and procedures, search records and files, internet, background materials, and references
- Execute administrative workflows in support of intramural science labs within the NIH.
- Attend and participate in multi-disciplinary research team meetings and functions
- Prepare briefing materials and summaries of meetings, workshops and conferences
- Take and compile comprehensive notes and organize and edit content of meeting reports
- Plan, organize and participate in technical meetings and consultations that convene diverse experts to advance key issues in scientific research
- Review short- and long-range planning proposals to ensure alignment with NIH organizational objectives and goals
- Work with staff on planning and implementing project-based activities such as workshop planning, resource evaluation, communication strategy, assist with report writing/editing.
- Provide comprehensive administrative, program, and project support to ensure efficient operations.
- Manage federal acquisitions and procurement processes, applying FAR knowledge, supporting purchasing workflows, coordinating with vendors, ensuring documentation compliance, and preparing for audits.
- Lead program management activities, overseeing strategic operations, coordinating cross-functional teams, managing timelines, developing SOPs, and executing process improvements.
- Create and maintain SOPs, communication materials, leadership briefings, reports, and other documentation to support organizational goals and alignment.
- Coordinate stakeholder engagement activities and deliver executive support, including communication, scheduling, and staff support initiatives.
- Prepare advanced documentation, presentations, and written communications, including technical documentation, procurement records, and executive correspondence.
REQUIREMENTS
- Bachelors Degree and a minimum 2 years of Federal acquisitions and procurement expertise including FAR knowledge; experience supporting purchasing workflows, vendor coordination, documentation compliance, and audits.
