LEGAL SECRETARY
The legal secretary position is a non-exempt position that reports to multiple attorneys and paralegals, in addition to the human resources director. The employee in this job performs a variety of legal secretarial duties. The work requires knowledge of legal, secretarial, and office practices in a wide range of practice groups.
RESPONSIBILITIES (including but not limited to)
· Provides secretarial support to multiple attorneys and paralegals
· Responsible for reviewing, filing, and circulating incoming and outgoing correspondence and legal documents to assigned attorneys and client representatives
· Responsible for electronic filing with Courts and administrative agencies
· Reviews and edits documents for accuracy
· Handles telephones for multiple attorneys and paralegals
· Schedules and arranges meetings and conferences, and notifies the appropriate parties
· Arranges travel reservations
· Assists with attorney and paralegals time keeping
· Establishes and revises forms, procedures, formats, and standards for documents
· Schedules and maintains appointments and calendars
· Provides day-to-day administrative support
· Other tasks as assigned
REQUIREMENTS
· Minimum three years of legal secretarial or equivalent experience preferred
· Typing skills of 65 wpm
· Thorough knowledge of software such as Word, PowerPoint, Excel, Adobe, Zoom, iManage (or similar database platform), and Elite 3E (or similar time entry software)
· Ability to maintain confidentiality and discretion
· Ability to multitask and handle shifting priorities in a fast-paced and time-sensitive environment
· Ability to manage interactions with clients, attorneys, and other staff members in a professional and courteous manner
· Ability to follow directions
ESSENTIAL FUNCTIONS
· Type correspondence, pleadings, and briefs
· Organize and maintain electronic and paper files of records and correspondence of a routine nature
· Maintain calendar, schedule appointments and meeting rooms
· Answer telephone, screen callers, relay messages, and greet visitors
· Operate office equipment such as photocopier, fax machine, and scanner
· Exercise discretion and good judgment over work priorities, and maintain positive relationships with clients, attorneys, paralegals, and other administrative staff
· Maintain an organized, neat, and clean work area
· Regular, on-time attendance
