LEGAL ASSISTANT
The legal assistant position is a non-exempt position which reports to multiple attorneys in addition to the human resources director. The employee in this job performs a variety of legal secretarial and paralegal duties. The work requires knowledge of legal, secretarial, paralegal, and office practices in a wide range of practice groups.
RESPONSIBILITIES (including but not limited to)
· Provides support to multiple attorneys
· Trains and supervises an assistant/legal secretary
· Responsible for reviewing, filing, and circulating incoming and outgoing correspondence and legal documents to assigned attorneys and client representatives
· Responsible for electronic filing with Courts and administrative agencies
· Reviews and edits documents for accuracy
· Handles telephone for attorneys
· Schedules and arranges meetings and conferences and notifies the appropriate parties
· Arranges travel reservations
· Assists with attorneys' timekeeping
· Establishes and revises forms, procedures, formats, and standards for documents
· Schedules and maintains appointments and calendars
· Provides day-to-day administrative support
· Schedule team meetings
· Coordinate client gatherings
· Coordinate litigation section events
· Schedule lunches
· Update client lists and trial calendars
· Conducting research on individuals and companies involved in cases
· Compiling, organizing, and indexing documentary evidence
· Assisting attorneys with electronic document review and production
· Coordinating document production, including bates labeling, scanning, and loading documents into Relativity or other eDiscovery platform
· Assisting attorneys with preparation for depositions and evidentiary hearings
· Coordinating service of process for citations, summonses, and subpoenas
· Organizing, reviewing, and managing deposition transcripts and exhibits
· Preparing video deposition excerpts
· Preparing documents as requested by attorneys, including pleadings, motions, proposed orders, and all forms of written discovery
· Proofreading and cite checking motions and briefs, and compiling and organizing supporting evidence
· Filing documents with state and federal courts in paper or electronic format, as necessary, in compliance with state, federal, and local rules
· Assisting attorneys at hearings and trial with presentation of evidence using PowerPoint and OnCue
· Assisting attorneys with trial preparation, including compiling trial exhibits, preparing witness files/notebooks, preparing trial notebooks, coordinating fact and expert witnesses, and serving as court liaison
· Calculating and maintaining docket/calendar entries with deadlines set forth by court, Rules of Civil Procedure, and Client
· Remaining current on changes in state, federal, and local rules and practices
· Other tasks as assigned
REQUIREMENTS
· Minimum three years of legal secretarial or paralegal experience
· Typing skills of 65 wpm
· Thorough knowledge of software such as Word, PowerPoint, Excel, PDFDocs, iManage (or similar database platform), Westlaw; and 3E (or similar time entry software)
· Ability to maintain confidentiality and discretion
· Ability to multi-task and handle shifting priorities in a fast-paced and time-sensitive environment
· Ability to manage interactions with clients, attorneys, and other staff members in a professional and courteous manner
· Ability to follow directions
ESSENTIAL FUNCTIONS
