- Key Responsibilities Purchase Order Management: Create, update, and maintain purchase orders within the ERP system.
- Verify accuracy of pricing, quantities, and delivery dates. Track order confirmations and update changes in the system promptly. Supplier Coordination: Communicate with suppliers regarding lead times, order status, and any necessary adjustments. Follow up on late shipments or discrepancies to ensure timely delivery. ERP Data Administration:
- Maintain accurate vendor information, part numbers, and pricing data in the ERP system. Assist with running standard reports from ERP for purchasing and inventory status. Documentation Compliance: Ensure all purchasing documentation complies with internal processes and policies.
- Support audits by maintaining accurate records of purchase orders, invoices, and correspondence.
- Support Tactical Activities: Assist purchasing and supply chain teams with day-to-day administrative tasks, including filing, scanning, and correspondence.
- Prepare and distribute reports on open POs, supplier delivery performance, and other key metrics.
- Qualifications Education Experience: High school diploma or equivalent required; associate degree or coursework in Business, Supply Chain, or related field preferred. 1 3 years of experience in purchasing, procurement, or supply chain administration, preferably in HVAC, manufacturing, or related industry. Experience with ERP systems e.g., Oracle, SAP, Microsoft Dynamics, or similar required. Skills Competencies: Strong organizational and time-management skills. Detail-oriented with high accuracy in data entry and documentation. Effective communication skills for interacting with suppliers and internal teams. Proficient in Microsoft Office Suite Excel, Word, Outlook . Preferred Attributes Familiarity with HVAC systems, components, and terminology. Ability to work in a fast-paced, deadline-driven environment. Problem-solving mindset with a proactive approach to challenges.
