What are the responsibilities and job description for the Executive Assistant position at Keller Williams Realty?
We are looking for the person who loves making things happen.
You'll work directly alongside the leader of a large, successful real estate team whose days move quickly and rarely look exactly the same.
Make her life easier and give her time back.
That means taking ownership of the dozens of calls, messages, appointments, follow-ups, scheduling requests, social media interactions, errands, and unexpected tasks that come with running a high-producing real estate business.
Some days you'll spend more time managing an inbox, calendar, texts, calls, and social media.
Other days you might coordinate a buyer's showing schedule, move appointments around, return calls, get a sign or lockbox installed, help with content, solve an unexpected client need, and handle something that wasn't on anyone's list that morning.
If you need every day to look the same, this probably isn't the position for you.

WHAT YOU'LL OWN
You'll work directly with the Team Leader to help manage her day and communication, including:
- Monitoring, organizing, and responding to emails
- Helping manage and respond to text messages
- Returning calls and handling routine follow-up
- Managing her calendar and scheduling appointments
- Coordinating and scheduling buyer property tours
- Managing day-to-day social media activity
- Monitoring and responding to social media DMs
- Assisting with social media content and coordination
- Handling client and business follow-up
- Coordinating meetings, appointments, and reservations
- Installing or removing real estate signs and lockboxes when needed
- Running occasional business-related & personal errands
- Handling unexpected and "on-the-fly" requests
- Keeping track of delegated tasks and making sure they actually get completed
- Identifying problems and solving them before they become another item on her plate
Most importantly, you'll learn what actually requires her attention—and what you can simply handle for her.
WHO WE'RE LOOKING FOR
You're probably someone who:
- Is extremely organized without being rigid
- Communicates exceptionally well by phone, text, email, and social media
- Has excellent written communication and grammar
- Can represent someone else professionally
- Handles confidential information appropriately
- Doesn't get overwhelmed when priorities suddenly change
- Takes ownership instead of waiting for instructions
- Can make reasonable decisions independently
- Naturally follows through
- Is comfortable communicating with clients and other professionals
- Can learn someone's preferences and anticipate what they'll need
- Is resourceful enough to figure things out
- Doesn't believe "that's not my job" is a useful phrase on a small, fast-moving team
Real estate experience is helpful, but initiative, judgment, communication skills, and resourcefulness are more important.

And significantly fewer things require her personal attention.
