Responsibilities
Scheduling & Coordination
- Manage daily and weekly calendars for five trucks
Customer Service & Communication
- Answer incoming calls and respond to customer emails
- Provide friendly, professional support to new and existing clients
- Gather job details and maintain accurate customer records
Permits & Documentation
- Submit electrical permits and track approvals
- Maintain organized job files, inspection records, and compliance documents
Bookkeeping & Financial Tasks
- Manage accounts receivable and accounts payable
- Process invoices, payments, and vendor bills
- Use QuickBooks for bookkeeping, reporting, and reconciliation
- Assist with payroll preparation as needed
Office Operations
- Keep the office clean, organized, and running smoothly
- Support ownership with administrative and project-related tasks
Qualifications
Required
- Strong experience with QuickBooks and basic bookkeeping
- Excellent communication and customer service skills
- Ability to multitask and stay organized in a fast-paced environment
- Comfortable managing multiple calendars and coordinating schedules
- Computer savvy — confident using email, cloud tools, and digital forms
- Basic understanding of AI tools (e.g., using AI to draft emails, organize information, or streamline workflow)
- Reliable, punctual, and able to work independently
Preferred
- Experience in the electrical, construction, or trades industry
- Familiarity with permit submission processes
- Knowledge of AR/AP workflows
