Accounting Clerk
Position Summary
The Accounting Clerk provides administrative and accounting support to the Accounting Department through a variety of clerical, data entry, recordkeeping, and document management functions. This position is responsible for maintaining accurate financial and operational records, supporting payroll and billing processes, and ensuring documentation is properly organized and accessible. The ideal candidate is detail-oriented, highly organized, and capable of managing multiple priorities in a fast-paced environment.
Essential Duties and Responsibilities
- Scan, organize, and maintain digital files for invoices, freight tickets, and supporting documentation.
- Assist with freight bill batching, scanning, filing, and record retention processes.
- Assist with daily billing activities, including validating supporting documents and entering information into customer portals.
- Collect, track, and organize employee timecards and payroll-related records.
- Calculate employee hours and verify timekeeping information for accuracy and completeness.
- Review driver logs, timecards, freight tickets, and related documentation to ensure accurate recording and reporting.
- Enter payroll information into company software systems.
- Answer incoming phone calls, greet visitors, and provide general administrative support.
- Perform additional duties and special projects as assigned.
- Assist with accounts payable functions by processing vendor invoices for materials, supplies, and subhauler services.
- Review and verify material invoices and subhauler billing for accuracy, completeness, and proper supporting documentation.
- Match invoices to purchase orders, freight tickets, delivery tickets, or other supporting documents, as applicable.
Qualifications
- One (1) or more years of experience in administrative support, accounting, payroll, bookkeeping, or data entry preferred.
- Strong attention to detail with a high level of accuracy.
- Excellent organizational, time management, and multitasking skills.
- Proficient in Microsoft Office applications, particularly Excel, Word, and Outlook.
- Ability to work independently and as part of a team.
Requirements
- High school diploma or equivalent required; additional accounting or business coursework is a plus.
- Experience in the transportation, trucking, construction, logistics, or related industry preferred.
- Working knowledge of Department of Transportation (DOT) Hours of Service regulations and driver log documentation preferred.
- Reliable attendance and ability to meet deadlines in a fast-paced environment.
Physical Requirements
- Ability to sit for extended periods while working at a computer.
- Ability to occasionally lift and carry files or office materials up to 20 pounds.
- Ability to perform repetitive data entry and filing tasks.
Pay: $21.00 - $24.00 per hour
