Kearney Housing Agency is seeking a highly organized, detail-oriented Executive Assistant to provide administrative and confidential support to the Executive Director and Financial Supervisor. This full-time (40 hours/week) position is an integral part of our Front Office Team and requires exceptional organizational, communication, and financial skills.
Required Qualifications
- Previous experience supporting governing boards is required, including preparation of agendas, board packets, minutes, resolutions, and compliance with the Nebraska Open Meetings Act.
- Experience with Accounts Payable, Accounts Receivable, and General Ledger.
- Advanced proficiency in Microsoft Office; experience with housing management software (Lindsey preferred) is a plus.
- Strong written and verbal communication skills with the ability to prepare professional correspondence, reports, and meeting materials.
- Excellent organizational skills, attention to detail, and ability to manage multiple priorities independently.
- Ability to maintain strict confidentiality.
- Valid driver's license and insurable.
Primary Responsibilities
- Provide confidential administrative support to the Executive Director and Financial Supervisor.
- Coordinate all Board of Commissioners meetings, including legal notices, agendas, board packets, resolutions, meeting minutes, and official records.
- Process accounts payable, code invoices, prepare check runs, maintain financial records, and assist with deposits.
- Prepare reports, correspondence, policies, and other agency documents.
- Coordinate bid packets, public notices, office supply inventory, and equipment inventory.
- Provide backup support for front desk operations, including answering phones, assisting customers, scheduling facilities, processing work orders, and handling mail.
- Attend training and perform other duties as assigned.
Physical Requirements
Work is primarily performed in an office setting and includes sitting, standing, walking, filing, lifting up to 30–50 pounds occasionally, and traveling between Agency locations as needed. Reasonable accommodations will be provided in accordance with the Americans with Disabilities Act.
