BASIC FUNCTION
Responsible for preparing and processing shipping documentation, including Bills of Lading (BOLs), and generating customer notifications for incoming component receipts. Manage daily transactions across multiple customer portals and ERP systems, including SAP, PipeChain, Macola, WiSys, and various customer-specific platforms, ensuring accurate and timely data entry.
Support the Logistics Supervisor in managing key customer accounts by preparing allocation reports, tracking inventory requirements, and coordinating shipment priorities. Collaborate with Accounts Payable (AP) and Quality Assurance (QA) teams to provide documentation, reconcile records, and support internal and external audits. Maintain a high level of accuracy and customer service while ensuring compliance with company procedures and customer requirements.
RESPONSIBILITIES
- Coordinate, prepare, and verify all finished goods shipments to ensure accuracy, timeliness, and compliance with customer requirements.
- Collaborate with the Quality Assurance (QA) team to confirm finished goods have successfully passed all required testing and that Certificates of Analysis (COAs) are completed and available prior to shipment release.
- Prepare and distribute customer notifications regarding component receipts, raw materials, and customer-owned inventory through electronic communication channels.
- Monitor and manage shipment and receipt activities within customer portals and internal systems, ensuring records are accurate, complete, and up to date.
- Respond promptly and professionally to customer inquiries related to shipments, deliveries, inventory receipts, and other logistics activities.
- Communicate with customers, carriers, and internal and external stakeholders to obtain missing shipment information and maintain complete and accurate records.
- Support supply chain security and customer compliance requirements by reviewing and validating transportation and shipment documentation prior to freight release. Verify driver identification, vehicle VINs, license plate numbers, and trailer numbers to ensure shipments are released only to authorized carriers and drivers.
- Identify opportunities for process improvements and system enhancements, partnering with IT and cross-functional teams to streamline workflows, improve operational efficiency, and enhance customer communication while maintaining quality standards.
- Maintain accurate shipping, inventory, and customer documentation within ERP systems, customer portals, and other logistic platforms.
- Prepare FedEx and UPS Shipping labels in and provided updated feedback to the customer.
- Assist with special projects, audits, reporting requirements, and other logistics-related initiatives as assigned.
- Perform additional duties and support departmental objectives as directed by management.
REQUIREMENTS
- Proficient in Microsoft Office and general computer applications.
- Experience using ERP and supply chain management systems.
- Familiarity with AI tools and technologies for supply chain operations.

EDUCATION/EXPERIENCE
- Associate or bachelor’s degree preferred.
- Training in AI tools and business technologies preferred.
- Minimum of 2–3 years of relevant work experience required.
- Experience with ERP systems and customer portals preferred.
- Background in logistics, supply chain, or customer service preferred.
