A Managed Service Provider (MSP) in the Greater Philadelphia area is looking for an IT Operations Coordinator who can keep daily operations organized and running smoothly. This role focuses on accuracy, structure, billing, and administrative coordination that supports both leadership and the technical team. You will act as the operational hub of the business, making sure internal processes stay efficient and consistent.
This is not a technical support position. It is ideal for someone who enjoys office operations, billing, coordination, and keeping a growing MSP on track behind the scenes.
Responsibilities
● Manage billing for recurring services, hourly work, and project invoices
● Maintain contracts, vendor records, and client documentation
● Support scheduling and project coordination across the company
● Work within tools including QuickBooks, Autotask, Datto, and ConnectBooster
● Prepare reports, metrics, and meeting materials for leadership
● Ensure clear communication between leadership, accounting, vendors, and the technical team
● Suggest and support improvements to internal processes
What We’re Looking For
● 3-5 years of experience in office management, operations, or administrative support
● Experience working for a Managed Service Provider or in the IT services industry is preferred
● Strong attention to detail with billing and documentation
● Proficiency with tools such as QuickBooks or similar systems
● Organized, reliable, and comfortable managing multiple priorities
● Strong written and verbal communication skills
● Someone who enjoys working in a small, collaborative environment
