About the Role
We are seeking a highly organized and proactive Administrative Assistant to provide critical support for our Projects & Construction and Planning/Major Projects sections. In this role, you will serve as a central hub for project documentation, budget tracking, and vendor coordination, ensuring that our large-scale operations move forward efficiently and in full compliance with regulatory standards.
Key Responsibilities
- Maintain meticulous project records and manage the lifecycle of internal documentation.
- Assist in budget management tasks, including tracking expenditures and financial reporting.
- Act as a primary point of contact for the Projects & Construction or Planning teams, utilizing strong written and verbal skills to coordinate between internal teams and external partners.
- Strictly safeguard sensitive information and ensure all administrative processes comply with VA privacy laws, information security, and data protection protocols.
- Assist in the generation of solicitation packages and the development of Project Management Plans (PMP) and Team Charters.
- Manage IDSR (Integrated Data Systems Report) by tracking and coordinating vendor quotes to support procurement needs.
- Facilitate related training for staff on administrative procedures and project tools.
- Utilize Microsoft Teams and other collaborative platforms to streamline departmental communication.
- Minimum of 23 years of professional administrative experience, preferably within construction, engineering, or project management environments.
- A bachelors degree or higher is preferred; a combination of education and relevant experience may be considered.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Adobe Acrobat DC is required. Experience with Microsoft Teams is highly beneficial.
- Exceptional organizational habits, the ability to prioritize competing deadlines, and a high level of discretion regarding confidential data.
- Familiarity with VA privacy laws, federal confidentiality requirements, or similar regulatory frameworks is a significant plus.
- This position supports a federal nonpersonal services contract with the VA.
- The anticipated contract term includes one base year with up to two optional renewal years, subject to funding, performance, and government needs.
- As part of the federal approval process, the VA may review resumes and may request interviews.
- Final placement and start date are contingent upon VA approval.
- While Kaleidoscope Supply Services manages the staffing process, the employer of record will be the client company supporting the VA contract.
- Hourly pay: you are paid only for hours worked.
- No paid holidays (holiday pay is not reimbursed by the government for this role).
- No paid time off (PTO) is included.
- Overtime is not permitted unless pre-approved by both the client and the VA.
