Overview
We are seeking a dynamic and personable Receptionist to join our team and serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and staff. Your organizational skills and office management expertise will ensure smooth daily operations while maintaining a professional and friendly environment. This paid position offers an exciting opportunity to develop your administrative skills in a fast-paced setting.

Duties

  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
  • Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
  • Handle front desk responsibilities including scheduling appointments, managing calendars, and coordinating meetings
  • Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools
  • Support office management tasks such as organizing supplies, proofreading documents, and assisting with clerical duties
  • Provide customer support by addressing inquiries via phone or email with professionalism and clarity
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed

Experience

  • Prior office experience or administrative support experience is preferred
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent organizational skills with the ability to multitask effectively in a busy environment
  • Bilingual abilities are a plus to serve diverse client needs effectively
  • Demonstrated customer service skills with a friendly demeanor and professional phone etiquette
  • Experience with data entry, filing systems, and proofreading documents accurately
  • Knowledge of medical or dental receptionist duties is advantageous but not required
  • Personal assistant or calendar management experience will be considered an asset
