Duties
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
- Handle front desk responsibilities including scheduling appointments, managing calendars, and coordinating meetings
- Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools
- Support office management tasks such as organizing supplies, proofreading documents, and assisting with clerical duties
- Provide customer support by addressing inquiries via phone or email with professionalism and clarity
- Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed
Experience
- Prior office experience or administrative support experience is preferred
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Excellent organizational skills with the ability to multitask effectively in a busy environment
- Bilingual abilities are a plus to serve diverse client needs effectively
- Demonstrated customer service skills with a friendly demeanor and professional phone etiquette
- Experience with data entry, filing systems, and proofreading documents accurately
- Knowledge of medical or dental receptionist duties is advantageous but not required
- Personal assistant or calendar management experience will be considered an asset
