We guide injured individuals and their families through complex settlement planning: structured payments, special needs trusts, government benefit protection, and more. The work is consequential. The Role
We need a Client Services Manager who owns cases from intake to policy issuance and does it with urgency, precision, and genuine warmth. You're the client's primary point of contact through some of the hardest moments of their lives — and simultaneously the operational engine keeping cases on track behind the scenes.
You'll work closely with Traci, outside attorneys, trust professionals, financial advisors, and benefit specialists. You won't need hand-holding. You'll prioritize independently, communicate proactively, and make sound judgment calls in real time.
The strongest candidates will come from paraplanning, client services, or case coordination roles in financial advisory, wealth management, insurance, or legal services. We'll train the right person on the specifics of structured settlements.
What You'll Own
Client Management
- Manage cases A to Z: intake, file setup, documentation, correspondence, follow-up, policy issuance
- Serve as the primary client contact — responsive, calm, and reassuring from first call to final check
- Coordinate with attorneys, trust professionals, advisors, and partners to keep cases moving
- Escalate urgent concerns with sound judgment; consult with leadership on complex cases
Operations & Execution
- Maintain accurate case files in Salesforce and shared systems; track progress in Asana
- Run quotes and proposals; process structured settlement plans, policies, and related documents
- Draft settlement documents, confirmation letters, and correspondence; manage Medicare Set-Aside coordination
- Review commission splits and policy economics before processing

Qualifications
- 2–10 years in a client-facing financial services, legal, or professional services role (experience level informs comp)
- Proficiency in Microsoft Office, especially Excel; Salesforce experience a strong plus
- Exceptional written and verbal communicator
- High EQ: you read people well, stay even-keeled under pressure, and genuinely care
- Able to work fully on-site in Newport Beach
