About the Role
The Field Services Coordinator supports the day-to-day scheduling and administrative functions of a 25-member construction team as well as accounting operations. This role works closely with operations and management to ensure efficient deployment of personnel, equipment and related resources for construction projects. Additionally, this position assists in the accurate and timely billing and financial reporting of services provided and compliance with company policies, and contractual obligations. The position requires strong organizational skills, attention to detail, and the ability to work independently.
Key Responsibilities
- Scheduling Company’s 25-member construction team for optimum efficiency of personnel on a variety of both large and small jobs.
- Coordinate the deployment of equipment, tools and other resources to job sites.
- Process subcontractor and vendor invoices, including G/L account/job cost coding and reporting with a focus on accuracy and policy compliance.
- Accounts Receivable processing and invoicing, including daily field services as well as progress billing on major construction projects.
- Perform routine administrative functions such as file management; permit processing; assisting with subcontractor pre-qualification, compliance and insurance; prelien waiver tracking; and bid and estimating support.
- Perform routine accounting functions, including reconciliations, journal entries, and expense tracking; as well as month-end and year-end close activities.
- Coordinate with field staff, project managers, and vendors to resolve billing or documentation issues
- Maintain accurate and organized financial records in accordance with company policies and applicable laws
- Assist with internal audits, external audits, and compliance reviews as needed
- Perform other accounting or administrative duties as assigned
Qualifications & Requirements
- Minimum of 2 to 5 years of accounting experience, preferably in construction and/or development; and/or multi-entity environment.
- Familiarity with job costing, or cost accounting
- Experience working with ERP or accounting systems such as Field Pulse, Pro-Core and Sage Intacct
- Working knowledge of generally accepted accounting principles (GAAP)
- Proficiency with Microsoft Excel and Word.
- Strong organizational skills and attention to detail
- Ability to work independently, manage competing priorities, and meet deadlines
- Valid driver’s license and ability to travel to field locations as required
- Ability to travel to field sites, which may include walking construction or operational environments
- Ability to sit, stand, and work at a computer for extended periods
