We’re looking for a Franchise Project Coordinator who lives for clean spreadsheets, smart workflows, and resource clarity; someone who can keep many projects moving, balance team load across the firm, and make it all look effortless. If you’re detail-obsessed, collaborative, and excited about a path toward project management, this is a great stepping-stone role.
What You’ll Do (Day-to-Day Impact)
- Own the franchise pipeline. Intake new projects, confirm program requirements, set up folders/trackers, and create project records in Smartsheet/ClickUp.
- Balance team capacity. Maintain an up-to-date resource map across multiple internal project teams; forecast needs; flag bottlenecks early; reallocate work to keep delivery on track.
- Drive schedules & milestones. Build and maintain schedules, dependencies, and dashboards; publish weekly status updates to internal leaders and client stakeholders.
- Coordinate stakeholders. Serve as a primary logistics contact for franchisees and corporate brand reps; schedule meetings, track decisions, and follow up on action items.
- Orchestrate consultants. Coordinate with outside engineering partners (MEP, structural, civil, etc.), manage deliverable dates, and ensure drawing and spec alignment.
- Permits & approvals support. Track submittals, jurisdiction requirements, and comment cycles; log RFIs and revisions; keep owners and internal teams informed.
- Quality through data hygiene. Keep project sheets accurate (naming conventions, versions, checklists, financial/PO placeholders, and closeout documentation).
- Solve problems in motion. Triage day-to-day issues; escalate risks with options and recommendations; keep communication clear and solutions oriented.
Must-Have Qualifications
- 1–3 years in a coordination, project support, or dispatcher/scheduler role (AEC, franchise/retail rollout, or similar high-volume environment preferred).
- Spreadsheet power-user. Comfortable living in Excel or Google Sheets (pivots, filters, data validation, VLOOKUP/XLOOKUP/INDEX-MATCH, basic dashboarding).
- Smartsheet and/or ClickUp experience (project setup, dependencies, resource views, dashboards). MS Project familiarity a plus.
- Excellent communication & follow-through. Clear writer, organized note-taker, reliable closer of loops with internal teams, clients, and consultants.
- Process discipline. You love checklists, naming conventions, and version control, and you stick to them.
- Calm under pressure. Able to juggle multiple active projects and deadlines without sacrificing accuracy.
- Work authorization: Legally authorized to work in the U.S. and able to work on-site in North Salt Lake, UT.
Nice-to-Haves
- Experience supporting franchise/retail TI or multi-site rollout programs.
- Familiarity with common AHJ/permit workflows and submittal tracking.
- Exposure to architectural/engineering deliverables and terminology.
- Basic comfort with Revit/Bluebeam/CAD for navigation and markups (no drafting required).

- 30 days: You’ve standardized project intake, resource mapping, and status reporting. Stakeholders know where to look for the latest truth.
- 60 days: Consultant schedules are aligned with internal milestones; permitting trackers are current; you’re proactively flagging risks with mitigation steps.
- 90 days: Workload is balanced across teams; on-time delivery KPIs trend up; client and internal feedback highlight clarity, speed, and reliability.
