Responsibilities
- Greet clients and visitors warmly, ensuring a positive first impression.
- Manage calendar scheduling, including appointments and meetings for staff members.
- Handle incoming calls, directing them to the appropriate personnel and taking messages as necessary.
- Maintain an organized reception area, ensuring it is tidy and welcoming at all times.
- Assist with administrative tasks such as filing, data entry, and document preparation.
- Utilize QuickBooks for basic accounting tasks and invoicing when required.
- Proofread documents for accuracy before distribution or filing.
- Provide support to medical or dental staff by managing patient records and appointment confirmations (if applicable).
- Stay proficient in Google Suite applications to assist with various office tasks.
- Offer bilingual support to clients when necessary, enhancing communication with diverse populations.
Experience
- Previous experience as a receptionist or in a similar administrative role is preferred.
- Familiarity with calendar management and organizational tools is essential.
- Experience with QuickBooks is a plus but not mandatory.
- Background in medical or dental reception is advantageous but not required.
- Strong customer support skills with an emphasis on professionalism and courtesy.
