Document Preparation and Signing
· Enter intake information into client vault/Legacy Drafting accurately. Preferably at the Planning Session but otherwise shortly thereafter.
· Give file folder to attorney for Plan Design and Funding Request.
· Prepare funding and fiduciary letters.
· Prepare Disposition of Remains, ...
· Notify attorney when there is a Slack message.
· When documents are ready, divide them into separate documents and save to the client file on the computer.
· For complex trusts or wills, deliver file to attorney for sending documents out for review.
· For all other estate planning matters, the paralegal will email the documents to the clients, using the email message template.
· Confirm review appointment in emails regarding the draft documents.
· Assist in the signing.
Funding
· Enter all financial information into the Intake section of Legacy Drafting. Ask clients to review the information and send them a link. If they aren’t comfortable with that process, print out the Intake Information and send to them.
· Research funding program in Legacy Drafting to discuss with the attorney.
· Otherwise, prepare a Spreadsheet of assets and liabilities.
· Prepare all of the funding letters – to be signed at the Signing Meeting. Mail the originals and make copies for the client and file. Instruct clients to take the letter to the local office with whom they have a relationship.
· If clients hire us to handle the funding, contact the financial institutions as needed.
· The final step of the process is to add Schedules to the Trust Agreement.
Probates
· Prepare packet (with contact form and engagement letter) for attorney.
· Draft initial probate documents as directed.
· Send probate documents to clients for review and obtain their signature.
· After signing, file the documents through e-file. Obtain Letters Testamentary. Pay the fees required. Mail as required.
· Discuss action needed with attorney and client.
· Creditor’s Claim Process – yes or no?
· Prepare the final probate pleadings when complete. Get signature and file.
· Write closing letter.
Preferred
- Experience with estate-planning document systems
- Familiarity with e-recording portals and Washington courts’ filing practices.
- Experience coordinating with financial institutions on beneficiary changes and trust funding.
- Bilingual skills.
Work Schedule and Environment
- Full-time, Monday–Friday; occasional early evening signings by appointment.
- On-site in Olympia, WA.
