- Manage daily office operations and administrative activities.
- Answer incoming phone calls, respond to emails, greet visitors, and provide professional customer service.
- Maintain organized electronic and paper files.
- Maintain confidential employee and individual records.
- Prepare letters, reports, spreadsheets, forms, correspondence, and other documents.
- Manage office supplies, equipment, mail, and other administrative needs.
- Maintain calendars and coordinate meetings, appointments, and agency activities.
- Provide administrative support to agency leadership.
- Assist with special projects and other duties as assigned.
- Identify administrative needs and take initiative to address them.
- Assist with new employee onboarding and orientation.
- Maintain accurate employee personnel files.
- Track employee background checks, licenses, certifications, training, and required credentials.
- Monitor credential and training expiration dates and follow up with employees and management.
- Assist with staff scheduling and coverage as needed.
- Review and organize timesheets and payroll-related documentation.
- Maintain accurate employee documentation in accordance with Journeys Inc. policies and applicable requirements.
- Provide administrative support to management regarding staffing and personnel matters.
- Maintain accurate documentation related to individuals receiving services.
- Assist with Medicaid, HCBS, licensing, audit, and regulatory documentation.
- Assist with preparation for state inspections, audits, and quality-assurance reviews.
- Track required documentation and follow up on missing or incomplete items.
- Assist with incident documentation and administrative follow-up as directed by management.
- Support quality-improvement and compliance activities.
- Maintain confidentiality of protected and sensitive information.
- Follow Journeys Inc. policies and procedures and all applicable regulatory requirements.
- Communicate professionally with individuals receiving services, families, guardians, employees, case managers, healthcare providers, and community partners.
- Respond to questions and requests promptly or direct them to the appropriate staff member.
- Maintain a welcoming, respectful, and professional office environment.
- Treat all individuals with dignity, respect, and compassion.
- Protect the privacy and confidentiality of individuals receiving services and employees.

- High school diploma or GED.
- Minimum of 2 years of administrative, office management, healthcare, or related experience.

- Ability to manage multiple priorities and meet deadlines.
- Ability to handle confidential and sensitive information appropriately.
- Proficiency with Microsoft Office and/or Google Workspace.
