Job Summary

The Journalism Education Association is hiring an Association Assistant to fulfill our mission of supporting free and responsible scholastic journalism. The Assistant serves as a primary point of contact for members and provides administrative, operational, and programmatic support across the association. The position works with an international membership comprising journalism teachers and advisers, as well as the executive director, office staff and board members. This position is responsible for membership administration, customer service, database management, program support, fulfillment activities, and general office coordination. The Association Assistant plays a key role in ensuring members, volunteers, and various stakeholders receive timely, accurate, and professional support while helping maintain the smooth day-to-day operation of the association.

Responsibilities

  • Membership Services & Database Administration (40%)
  • Serve as a primary point of contact for member inquiries via phone, email, and other communication channels.
  • Ensure timely and professional resolution of member service requests.
  • Process membership applications, renewals, updates, and related transactions.
  • Maintain accurate membership records and data integrity within the association management system (AMS).
  • Assist members with accessing benefits, resources, programs, and services.
  • Generate membership reports and assist with routine data analysis.
  • Support member-related communications and administrative processes.

Association Operations & Administrative Support (25%)

  • Coordinate calendars, scheduling, and meeting logistics as assigned.
  • Manage incoming/outgoing mail and shipments for national conventions.
  • Maintain office supplies and coordinate routine office purchases.
  • Assist with vendor communications and administrative follow-up.
  • Support organizational projects and initiatives across departments.
  • Maintain organized electronic and physical records.

Program & Contest Administration (20%)

  • Support administration of contests, awards, certification programs, mentoring initiatives, and other association programs.
  • Maintain participant records and program documentation.
  • Coordinate awards fulfillment and recognition materials.
  • Assist staff with program-related communications and logistics.

Fulfillment & Customer Support (15%)

  • Process orders and coordinate shipping of association materials and merchandise.
  • Track inventory and fulfillment activities.
  • Assist with convention and program material preparation as needed.
  • Ensure timely and professional resolution of member service requests.
  • Activating and entering data about members into the membership database. Updating payments Essential to keep member accounts current so members can access the helpful online teaching curriculum. Help teachers sign up for convention contests and get entries loaded by the deadline. Updating the certification and mentor/mentee program into the member database. Send out awards and recognition letters. Sorting mail and matching payments with outstanding invoices. Process deposits. Deposit at the Essential banking institute weekly.

Experience

  • Required
  • Requires a high school diploma (or equivalent) and one year of relevant experience. Requirements may be met through a combination of education and experience.

Preferred

  • Bachelor's degree or equivalent combination of education and experience.
  • 2–4 years of administrative, membership, customer service, or association experience.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Proficiency with Google Workspace and database systems.
  • Comfortable with technology, adaptive and quick learner.
  • Ability to manage multiple priorities with accuracy and professionalism.
  • Experience working in a nonprofit, association, or membership organization.
  • Experience with association management systems (AMS).
  • Familiarity with volunteer-led organizations.
  • Experience supporting member programs or customer service functions.
  • Familiar with graphic design programs.
  • Familiar with Word Press.

Currently, this position manages the physical office that is maintained at the Journalism Education Association headquarters office at Kansas State University in Manhattan, KS and will need to access that office on a schedule that can be determined.

Pay: $19.23 - $21.63 per hour
