Position Summary
Joshua J Fine Jewelry is seeking a highly organized, detail-oriented, and technology-driven Product Operations Coordinator to support our Product and Data Operations team. This role will be coordinating product data, inventory support, reporting, digital assets, and cross-functional projects that keep our product information accurate and accessible. Working directly with the Product Operations Manager, the ideal candidate enjoys working with systems, is comfortable with data, thrives in a fast-paced environment, and takes pride in accuracy and organization. Key Responsibilities
Product & Inventory Coordination
- Retag jewelry and product inventory as needed.
- Coordinate diamond essentials inventory restocking.
- Assist with replenishment planning and coordination.
- Pick product assortments for sales, marketing, and merchandising initiatives.
- Support system updates and product data maintenance across internal platforms.
- Maintain accurate product information across internal systems.
- Audit product data for completeness and accuracy.
- Assist in identifying and correcting product data discrepancies.
Reporting & Analytics
- Pull, validate, and distribute weekly business reports every Monday.
- Utilize AI tools (Claude, ChatGPT) and reporting systems to automate recurring reports and improve reporting efficiency.
- Identify opportunities to improve reporting processes through automation and system enhancements.
Product Catalog Support
- Create and update PDF product catalogs for Jewelers and website use.
- Coordinate website image requests and communicate with internal teams to ensure product assets are current.
- Fulfill customer requests for high-resolution product images.
- Coordinate requests for customer product videos on behalf of leadership.
- Prepare, pack, and ship physical catalogs to customers and sales representatives.
- Coordinate batch catalog shipments with catalog fulfillment center to ensure timely customer satisfaction.
Additional Support
- Serve as the secondary coordinator for SPIFF program administration.
- Support cross-functional initiatives between Product, Sales, Marketing, and Operations.
- Assist with product launches, data projects, and operational initiatives as assigned.
Required Qualifications
- Highly organized with exceptional attention to detail.
- Comfortable learning new software and systems quickly.
- Proficient with Microsoft Excel (basic formulas, filtering, sorting).
- Strong written and verbal communication skills.
- Excellent time management and prioritization skills.
- Self-motivated with strong problem-solving abilities.
- Comfortable working in a fast-paced environment.
Preferred Qualifications
- Experience with inventory, merchandising, or product operations.
- Experience with ERP, PIM, or e-commerce systems.
- Familiarity with Power BI, Asana, ChatGPT, Claude, or similar business software.
- Experience coordinating projects across departments.
