Duties
- Manage daily office operations, including filing, record keeping, and maintaining organized project documentation
- Coordinate schedules for project teams, subcontractors, vendors, and clients to ensure timely communication and deadlines are met
- Oversee vendor management by sourcing, negotiating, and maintaining relationships with suppliers and service providers
- Handle human resources functions such as onboarding new staff, managing payroll using QuickBooks, and supporting training & development initiatives
- Assist with budgeting and bookkeeping tasks to track expenses, process invoices, and monitor project financials
- Support front desk responsibilities including answering multi-line phone systems, greeting visitors, and managing phone etiquette
- Organize project meetings, prepare agendas, take minutes, and distribute follow-up action items efficiently
Experience
- Proven administrative experience in an office setting within the construction industry or related fields
- Supervising experience with team management skills to oversee administrative staff or project coordinators
- Familiarity with office management software such as Jobtread or Buildertrend
- Strong organizational skills with the ability to manage multiple calendars and schedules simultaneously
- Experience in event planning for project launches or team-building activities is a plus
- Knowledge of human resources processes including onboarding, training & development programs
- Excellent communication skills—both verbal and written—to liaise effectively with vendors, team members, and clients
