Overview
The Accounts Receivable Clerk and Payroll Administrator plays a vital role in ensuring the smooth, accurate, and confidential financial management of our construction projects. This position handles processing accounts receivable, billing clients, and managing payroll, which includes entering financial transactions into internal databases, compiling job costs, researching and resolving discrepancies, maintaining confidentiality of all financial data, and preparing routine reports and summaries. The role also supports business growth and the accounting department by entering financial transactions necessary for preparing monthly and yearly financial reports.

Status: Non-Exempt (Hourly)
Schedule: Full-Time (40 hours/week)
Work Location: Nipomo, CA - 100% in-office
Pay Range: $30-$40/hour, DOE
Responsibilities
Payroll (50%)
- Tracks time in ClockShark with Daily Logs, and inputs Time in Foundation
- Ensures all employees Daily Logs have been received and time matches ClockShark
- Fixes any issues with Daily Logs with Construction Operation Manager
- Ensures all time is accounted for and coded correctly (RT v. OT)
- Makes sure job tasks/vacation/sick time are correct; makes changes as necessary to ClockShark so the correct job is displayed
- Ensures all cost codes for Workers Comp are correct
- Reviews and corrects timekeeping discrepancies, and ensures all adjustments are recorded on a time card adjustment form
- Ensures lunches are taken and prepares the meal/break exclusion for completion by employee
- Submits timecards and dailies to Accounting Manager for review and processing
- After each pay period, separates the dailies by job, scans and files appropriately.
- Submits daily logs to AP to enter information into Production Track Home Job Costing
- Disperses payroll on payday; make sure all documents are signed by employees
- Performs other duties as assigned
Accounts Receivable (50%)
- Creates Invoices after Job is complete
- Pulls unbilled reports and bill according to project/client specifications
- Processes Accounts Receivable Payments.
- Processes and prepares Job Costing and tracking via Foundation and spreadsheets
- Prepares for weekly meeting/take meeting minutes.
- Manages production home billing and production tracking spreadsheet to show what is completed
- Prepares Preliminary Lien notices for all jobs and Process Preliminary Lien Notice requests from subcontractor/vendors; prints and files electronically
- Prepares T&M PO requests, deposits, and updates billing sheets
- Researches billing issues as needed
- Scans and files billing packets, follows up on POs, and prepares AR aging reports
- Performs other duties as assigned
General Duties
- Maintains organized filing systems (electronic and physical)
- Provides administrative support to relevant teams as needed.
- Assists with back-office organization, clean up and office lock up when needed.
- Assists with general office tasks and receptionist duties
- Answers phones and field phone calls for team members (backup)
- Attends weekly meetings
Required Skills & Qualifications
- A degree in a related field or equivalent experience is preferred.
- Minimum 3 years of experience in payroll administration, preferably in construction, and at least 2 years of Accounting AR experience
- Strong understanding of payroll principles and processes
- Experience with construction accounting software (e.g., Foundation) is a plus
- Proficiency in Microsoft Office Suite (Excel, Word, Windows)
- Excellent organizational skills, attention to detail, and communication skills
- Ability to work independently and as part of a team
- High-energy, self-starter with a professional demeanor
- Must possess a valid Driver’s License
- Ability to pass a background check and pre-employment drug screening
