Overview:
We are currently seeking a reliable and motivated Part Time Staff Support member to join our team. The Staff Support role is crucial in ensuring the smooth operation of our clinic and providing exceptional service to our patients.
Responsibilities:
Scheduling & Coordination
- Serve as the front desk point of contact, greeting patients and visitors and providing excellent customer service.
- Schedule, reschedule, and cancel appointments efficiently
- Manage therapist schedules and treatment availability
- Monitor no-shows and late arrivals
- Explain insurance coverage and payment policies to patients
Insurance & Billing Support
- Verify insurance eligibility and benefits
- Collect copays, deductibles, and outstanding balances
- Obtain prior authorizations when required
- Explain insurance coverage and payment policies to patients
Administrative Tasks
- Maintain accurate patient records and documentation
- Scan, file, and upload medical documents
- Process intake forms and consent paperwork
- Ensure HIPAA compliance and patient confidentiality
- Utilize computerized systems to perform administrative tasks
Clinic Operations
- Maintain a clean, organized, and professional front desk area and office/clinic space
- Report office supplies need and inventory
- Assist therapists with administrative needs
- Support clinic flow to minimize patient wait times
- Assist therapists with patient setup and equipment preparation when as assigned by management
Communication & Team Support
- Communicate effectively with therapists and clinical staff
- Handle patient concerns professionally and escalate when needed
- Coordinate with referring physicians’ offices
- Handle phone calls with professionalism and excellent phone etiquette
Skills:
- Previous experience as a front desk receptionist or office manager.
- Knowledge of PT office procedures is preferred.
- Excellent phone etiquette and communication skills
- Strong customer service skills with the ability to handle challenging situations professionally
- Proficiency in computerized systems for data entry and administrative tasks
- Attention to detail and strong organizational skills
- Experience with EMR/EHR and scheduling software
