Description
The Membership Coordinator will oversee all aspects of the membership process (for both Resident and Town membership) from the receipt of the candidate application to processing the new member. This position reports to the Membership Operations Manager.
The Membership Coordinator Is Responsible For The Following
- Manage and coordinate all aspects of the membership application process in partnership with the Membership Operations Manager and Town Membership Director.
- Review application packets submitted and advise sponsor and candidate on any pending Follow up on incomplete packets. Track data pertaining to these applications.
- Track candidate status, documentation, and pipeline activity, maintaining accurate and up-to-date records.
- Prepare candidate files and background reports for review, ensuring strict confidentiality at all times.
- Generate Candidate photos and biography summaries for internal staff use.
- Prepare and distribute monthly membership posting sheet.
- Maintain organized electronic records and filing systems for all candidates and members, including standard operating procedures.
- Organize Candidate Dinners and Interviews, including scheduling, invitations, and coordination across all participants.
- Prepare Membership Committee meeting materials, including reports, candidate summaries, ballots, and interview calendars.
- Track and report month membership statistics and reports for internal use and applicable committees.
- Track and record Membership Committee participation.
- Communicate application status updates and Board approval outcomes to appropriate parties.
- Compile and distribute new member orientation materials. Process and track submissions and initiation fee payments.
- Create and distribute all materials for the Candidate Dinner, such as the Candidate information sheets, place cards, nametags, and evaluation forms.
- Coordinate and execute new member orientations, including scheduling, materials, tours, and welcome gifts.
- Maintain data integrity standards for member-related information.
- Answering phone and email inquiries, and providing a personalized service for the members.
- Prepare collateral material for weekly Breakfast Club meetings.

- Minimum 3 years of administrative experience in a high-end hospitality environment preferred.
- Demonstrated excellent member relations skills, results oriented and highly motivated.
- Superior written, verbal, and interpersonal communications skills.
- Ability to analyze and solve problems; efficiently handle multiple duties simultaneously with minimal supervision.
- Positive attitude, organized with high attention to detail, able to work in a fast-paced environment with all types of personalities in a diplomatic and pleasant manner, team player/builder, professional manner and appearance in all situations.
- Proficient in Microsoft Office Suite, Adobe Creative Suite, content management software and customer relationship management
- Working knowledge of Northstar, Qlik, Calendly, Canva, Photoshop and HubSpot CRM are preferred.
