What are the responsibilities and job description for the Executive Assistant position at Join Our Team?
The Executive Assistant (EA) will provide high-level administrative support to the President/CEO. Reporting directly to the CEO, the EA serves as a trusted partner in a close, one-on-one working relationship. The Executive Assistant also serves as a liaison to the Board of Directors and Senior Leadership, coordinates executive outreach and external relations efforts, and oversees special projects. The EA must be creative, resourceful, and thrive in a fast-paced, entrepreneurial environment.
The ideal candidate will demonstrate sound judgment across a wide range of situations, strong written and verbal communication skills, administrative and organizational skills, and the ability to balance multiple priorities effectively.
Responsibilities:
- Manage sensitive matters with strict confidentiality and discretion, especially decisions that directly impact the company's global operations.
- Sustain a daily calendar of meetings and events.
- Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents to support the organization's objectives.
- Arrange travel and accommodations for executives.
- Prepare expense reports.
- Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information, and referring non-routine calls to the appropriate staff.
- Excellent communication and time management skills; proven ability to meet deadlines.
- Ability to function well in a high-paced environment; performs additional duties as assigned by executives.
- Draft and prepare correspondence for internal announcements, board meetings, and organizations that the executive is involved with
- Manage the Executive's contacts.
- Assist in preparing and managing presentations and decks.
- Be responsive to emails/texts/phone calls, with contact outside normal business hours.
- Welcome the Executive’s guests by greeting them in person or on the phone, and by answering or directing inquiries.
- Use discretion, confidentiality, and good judgment to handle C-Level matters.
- Represent the company and the Executive in a positive light through great follow-through skills and sound judgment.
- Conserve the Executive's time by reading, researching, collecting, and analyzing information in advance as needed.
- Proactively manage intricate calendars and competing schedules, resolving conflicts with ease while supporting a range of ad hoc needs from personal events to family matters.
Minimum Qualifications:
- 5 years of related experience in an executive assistant role supporting C-Level executives required.
- Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
- Ability to communicate effectively and professionally.
- Flexible hours as dictated by the needs of the business for projects and meetings.
- Proven ability to assess business needs, identify key priorities, and exercise sound judgment in fast-moving or ambiguous situations.
- Perform duties at the highest level consistently.
- Ability to interact with people of all levels in a confident, professional manner.
- Demonstrate ability and temperament to work with sensitive information.
- Dedicated to meeting the expectations of the CEO and other senior executives by maintaining effective relationships with interested parties.
- Ability to think outside the box with a sense of urgency.
- Bachelor's degree (preferred)
