Position Overview

Johnson Real Estate Group and HPI Property Management are looking for a dependable, organized, and motivated Assistant Property Manager to help support the daily operations of our growing rental portfolio.

This position is ideal for someone who enjoys working with people, staying organized, solving problems, and helping keep rental properties running smoothly. The Assistant Property Manager will help with tenant communication, leasing, maintenance coordination, rent collection support, inspections, renewals, administrative tasks, and general property management operations.

This is an entry-level to growth-oriented position with the opportunity to learn property management, real estate operations, leasing, tenant relations, and business administration.

Key ResponsibilitiesTenant Communication

  • Answer phone calls, emails, texts, and tenant messages in a professional manner.
  • Help respond to tenant questions, concerns, and maintenance requests.
  • Communicate clearly with tenants about appointments, repairs, lease terms, rent payments, and property rules.
  • Maintain a professional and respectful attitude with tenants, applicants, vendors, and team members.

Leasing & Applications

  • Help market available rental units on platforms such as Zillow, Facebook, Apartments.com, Rent.com, and other listing sites.
  • Respond to rental inquiries and help pre-screen prospective tenants.
  • Schedule and assist with showings.
  • Help process rental applications and gather required documents.
  • Assist with lease preparation, move-in paperwork, and tenant onboarding.
  • Help maintain accurate records for available units, applicants, and lease statuses.

Maintenance Coordination

  • Receive and help organize maintenance requests.
  • Coordinate with the maintenance team, construction team, vendors, and tenants.
  • Help schedule repairs, follow up on work orders, and confirm completion.
  • Communicate updates to tenants regarding maintenance timelines.
  • Assist in tracking recurring issues and larger property needs.

Rent Collection & Renewals

  • Assist with rent collection follow-up and tenant payment communication.
  • Help send rent reminders, late notices, and other tenant communications as directed.
  • Assist with lease renewals, rent increase notices, and move-out notices.
  • Help track upcoming lease expirations and renewal deadlines.

Inspections & Property Support

  • Assist with move-in, move-out, and periodic property inspections.
  • Take photos and document property conditions when needed.
  • Help identify maintenance issues, safety concerns, or property improvements.
  • Support apartment turns by coordinating cleaning, repairs, and readiness for new tenants.

Administrative Duties

  • Maintain organized tenant, property, and vendor records.
  • Help update property management software and internal systems.
  • Upload documents, invoices, photos, and notes as needed.
  • Assist with reports, spreadsheets, filing, and general office tasks.
  • Help support property management systems and processes as the company grows.

Qualifications

  • Strong communication and customer service skills.
  • Organized, dependable, and detail-oriented.
  • Comfortable using computers, email, spreadsheets, and online software.
  • Ability to multitask and follow through on assigned tasks.
  • Professional attitude when dealing with tenants, applicants, coworkers, and vendors.
  • Willingness to learn property management and real estate operations.
  • Prior experience in property management, leasing, customer service, administration, or real estate is helpful but not required.
  • Valid driver’s license and reliable transportation preferred.

  • Yardi, RentCafe, AppFolio, Buildium, HubSpot, or similar software
  • Microsoft Excel, Google Sheets, or basic reporting
  • Social media or rental listing platforms

Work Environment

This role may include both office work and occasional property visits. The Assistant Property Manager may help with showings, inspections, tenant communication, and property-related tasks throughout Central Wisconsin.

Compensation

Compensation is based on experience, skill level, reliability, and ability to support daily operations.

HPI Property Management supports the daily operations of the rental portfolio, including leasing, tenant relations, maintenance coordination, and property performance.

Pay: $17.00 - $25.00 per hour
