We are looking for a reliable, organized, and welcoming Office Administrator / Front Desk Coordinator to support the day-to-day operations of our office. This position combines front desk support, office organization, light accounting support, and administrative assistance for our real estate and property management operations.

Key Responsibilities
- Oversee and help ensure accuracy of data entry processes
- Reconcile bank accounts
- Enter rent payments and late fees into AppFolio
- Write checks through AppFolio and QuickBooks
- Deliver deposits to the bank
- Scan and organize receipts and documents
- Answer basic tenant account questions
- Process new tenant applications
- Manage office supplies, including ordering, stocking, and maintaining organization
- Keep key boxes tagged, organized, and up to date
- Light office cleaning, including vacuuming once per week and as needed
- Greet guests and offer coffee, water, or tea
- Assist with twice-monthly postcard mailings
- Prepare buyer packets, seller packets, and real estate review packets
- Prepare tenant move-in folders
- Answer incoming phone calls and route messages as needed
- Manage inbound and outbound mail
- Help set up utility accounts
Qualifications
- Strong organizational skills and attention to detail
- Professional and friendly communication skills
- Comfortable answering phones and greeting clients and guests
- Ability to manage multiple tasks and stay on top of deadlines
- Basic computer and administrative skills required
- Experience with QuickBooks, AppFolio, or similar systems is a plus, but not required
- Real estate, property management, bookkeeping, or office administration experience is a plus
