Job Summary
We’re seeking a detail oriented, motivated & flexible HR/Office Administrator who will be responsible for supporting our New York Office. This role is tactical and hands-on and is a key member of this team playing a critical role keeping our day to day office operations running smoothly.
We are growing quickly and have a fun and energetic in office culture. This role will be in person 5 days a week. It is based in New York and operates out of our office in Soho.

Key Responsibilities
Office Operations & Facilities
- Oversee day-to-day office operations to ensure an organized and well running workspace.
- Manage access control and badging for employees and visitors, maintaining security compliance.
- Coordinate office moves, seating plans, and workspace assignments.
- Support facilities needs, including maintenance requests, vendor coordination, and COI (Certificates of Insurance) management.
- Maintain inventory of office and kitchen supplies, ensuring timely ordering and restocking.
- Maintain accurate and timely data entry across all HR systems, ensuring all employee updates are properly recorded
- Manage and organize HR files, processes, policies, and operating standards to support team efficiency and compliance
- Oversee airport badging administration, including tracking, renewals, and access management
- Ensure compliance with immigration requirements and I-9 regulations, including audit readiness and documentation integrity
- Create a welcoming environment by greeting guests and serving as the first point of contact.
- Plan and coordinate office events such as celebrations, meetings and lunches.
- Prepare and support meeting logistics, including room setup, catering, and AV coordination.
- Manage conference room scheduling and ensure all meeting spaces are equipped and well-maintained.
- Coordinate IT setup for new employees and process hardware or software requests.
- Partner with internal IT or external vendors to troubleshoot office technology issues and ensure smooth daily operations.
