JOB DESCRIPTION – BILLING & ACCOUNTING SPECIALIST
'Joe' Dickey Electric, Inc.; a Mahoning County, Ohio area Electrical Contractor has an excellent opportunity for a Billing & Accounting Specialist to support our Accounting Department and electrical contracting operations.
We are seeking a dependable, detail oriented, and versatile individual with strong computer skills to support billing and general accounting functions for our commercial, industrial, and residential electrical operations. This role is a blend of billing, accounting support, and front office administration. The role features hands on responsibility for the day to day office functions that keep our operations running.
This position is well suited for a candidate with billing or accounting experience who takes ownership of their work and is looking for a long-term opportunity within an electrical contracting environment, with room to grow into greater responsibility over time.
The successful candidate must be dependable, flexible, and capable of performing in a fast-paced construction environment. This role requires strong computer proficiency, accuracy, the ability to work independently and prioritize competing demands effective communication with multiple departments is required on a daily basis. The candidate must be able to demonstrate the required aptitude and proficiency during a 6-month probationary period.

RESPONSIBILITIES
· Follow and enforce all ‘Joe’ Dickey Electric Safety Policies so that all work is completed SAFELY.
· The Billing & Accounting Specialist will report to the Controller and work closely with the CFO, Payroll Coordinator, Project Managers, and front office staff.
· Prepare invoices and invoice approval forms for projects needing to be billed as directed by Project Managers.
· Prepare time and material billing, including in an overflow capacity.
· Prepare monthly and recurring billing..
· Review weekly job cost summary reports to assist Project Managers in keeping current with billing activities.
· Process credit memos as directed.
· Mail vendor checks and account statements.
· Review and reconcile vendor statements to verify the status of open and paid invoices. Obtain missing invoices where necessary and maintain good communication with vendors.
· Mail customer account statements and follow up on outstanding payments and collections as directed.
· Scan and process daily deposit records.
· Scan and file monthly vendor statements and packing slips.
· Complete job closings on behalf of Project Managers.
· Maintain and update the Bid Tracker, including entering and updating Project Manager quotes.
· Review and process Project Manager action notes.
· Provide administrative support to the Accounting Department, including copying, scanning, and projects as directed by the CFO, Controller, and Payroll Coordinator.
· Answer incoming phone calls, direct calls to the proper person, and take accurate messages.
· Greet guests and visitors and provide front office support, including distributing incoming mail and general office and mailing duties as needed.
· Serve as backup for residential customer scheduling and appointment coordination.
· Maintain accurate records and documentation within company systems.
· Represent the company with professionalism and integrity.
· Attend company, vendor, and industry training as required.
· All other duties as assigned.
EXPERIENCE
- Billing, accounts payable, or general accounting experience (Required)
- Experience with construction or job cost billing (Preferred)
- Experience in a construction or industrial office environment (Preferred)
EDUCATION
- Minimum: High School Diploma or General Education Degree (GED).
- Preferred: Additional education or coursework in accounting, bookkeeping, or business.
SKILLS
- Working knowledge of billing, accounts payable, and general accounting practices.
- Ability to review, verify, and reconcile invoices, statements, and account records.
- Strong computer proficiency along with the willingness and ability to learn and become proficient with unfamiliar software, quickly.
- Strong organizational and time management skills.
- Ability to manage multiple tasks and shifting priorities.
- Excellent math skills.
- Experience with MS Office (Excel, Word, Outlook).
- Experience with ComputerEase Accounting Software is desirable.
- Strong written and verbal communication skills.
- Attention to detail and accuracy.
- Ability to coordinate work between the accounting department, front office, and field operations.
- Problem solving aptitude.
- Demonstrated professionalism and ethical conduct.
- Ability to work in a fast-paced construction environment.
- Strong work ethic and self-motivation combined with a “team first” mentality.
REQUIREMENTS FOR EMPLOYMENT
- Must be at least 18 years of age.
- Must have Valid Driver's License.
- Must have Clean Driving Record.
- Must consent to Motor Vehicle Record Search, Criminal Background Check, and comply with Company Drug Testing Requirements.
- Must be able to work without constant supervision and organize and manage time effectively.

- Starting Wage will be negotiable and commensurate with pertinent experience and references.
