We are seeking a detail-oriented and experienced Traffic Coordinator with a strong background in freight forwarding and NVOCC operations, focusing on Ocean shipments to the Caribbean region. The ideal candidate will be responsible for coordinating all aspects of international shipments, ensuring compliance with export regulations, timely documentation, and effective communication with carriers, clients, and overseas agents.
Key Responsibilities:
- Coordinate and manage Ocean Export shipments from booking through final delivery, primarily to Caribbean destinations.
- Prepare and process export documentation including bills of lading, AES filings, commercial invoices, and certificates of origin.
- Book cargo space with carriers (steamship lines and airlines) and manage container/truck scheduling.
- Monitor and track shipments to ensure timely departures and arrivals; proactively resolve delays and exceptions.
- Communicate with overseas agents, consignees, and customers to confirm bookings, routing, and document requirements.
- Ensure compliance with all U.S. and international export regulations, including BIS and TSA regulations.
- Work closely with internal teams including sales, customer service, and accounting to provide shipment updates and resolve issues.
- Maintain accurate and up-to-date shipment files in TMS systems such as CargoWise, Magaya, or similar.
- Ensure billing and invoicing are completed accurately and on time.
Qualifications:
- Minimum 2-4 years of experience in freight forwarding or NVOCC, with a focus on Ocean exports.
- Proven experience handling shipments to the Caribbean is strongly preferred.
- Strong knowledge of export documentation, HTS codes, Incoterms, and international shipping regulations.
- Proficient in logistics software such as CargoWise, Magaya, or similar TMS platforms.
- Excellent communication and organizational skills with strong attention to detail.
- Ability to work in a fast-paced environment and manage multiple shipments simultaneously.
- Bilingual (English/Spanish or English/French Creole) is a plus but not required.
Preferred Skills:
- Familiarity with FTZ (Foreign Trade Zone) processes and Hazmat shipments is a plus.
- Strong knowledge of customs clearance procedures in the Caribbean region.
- Experience in handling perishable or time-sensitive cargo is desirable.
