Summary: The main function of the Wiki/Knowledge Base Administrator
The Wiki / Knowledge Base Administrator is responsible for building, organizing, maintaining, and evolving the organization’s internal and/or external knowledge base. This role ensures that information is accurate, discoverable, up to date, and easy to use, serving as a central source of truth for teams and stakeholders. Key tools are MS Teams/SharePoint and ServiceNow.
Key Responsibilities:
Design, build, and maintain the wiki or knowledge base structures
Create, edit, and curate documentation, guides, FAQs, and reference materials
Establish and enforce documentation standards, templates, and style guidelines
Organize content using clear information architecture (categories, tags, navigation)
Ensure content accuracy, consistency, and version control
Collaborate with subject matter experts to capture and document knowledge
Review, audit, and retire outdated or redundant content
Improve content discoverability and usability through search optimization and feedback
Train team members on how to contribute to and use the knowledge base
Monitor usage, identify gaps, and continuously improve documentation quality
Required Skills & Qualifications
2-4 Years of experience
Experience managing a wiki, knowledge base, or documentation system
Strong written communication and editing skills
Ability to translate complex information into clear, user-friendly content
Experience with knowledge base and wiki tools (e.g., SharePoint, ServiceNow, Confluence, MediaWiki, Git-based docs, etc.)
Understanding of information architecture and content organization
Strong attention to detail and content accuracy
Ability to work independently and collaborate across teams
Nice-to-Have Skills
Knowledge of SAP products
Knowledge of various cloud platforms (e.g. AWS, AZURE, Google Cloud Platform)
Technical background or familiarity with software development workflows
Basic HTML, Markdown, or documentation tooling experience
Experience with version control systems (e.g., Git)
UX or content design experience
Analytics or reporting on content usage and effectiveness
