Jobs for Kentucky's Graduates (JAG Kentucky) is seeking a highly organized, detail-oriented, and dependable Billing Specialist to support the organization's billing and invoicing processes. The Billing Specialist will work closely with the Executive Team and Program Managers to ensure the accurate and timely preparation, submission, and tracking of billing for services provided through JAG Kentucky classroom programming.

This position plays a vital role in maintaining accurate billing documentation, ensuring compliance with state and federal requirements, and supporting the financial integrity of grant-funded programs. The ideal candidate will possess strong analytical and organizational skills, excellent attention to detail, and the ability to work collaboratively while managing multiple priorities.

Key Responsibilities

Billing & Invoicing

  • Prepare, review, and process invoices for classroom services and Pre-Employment Transition Services (Pre-ETS) in accordance with program guidelines.
  • Work closely with Program Managers to verify services provided and ensure all billing documentation is accurate and complete.
  • Ensure timely submission of invoices while meeting all billing deadlines.
  • Maintain organized and accurate billing records in compliance with state, federal, and organizational requirements.
  • Monitor billing documentation for completeness and follow up with Program Managers regarding missing or incomplete information.
  • Assist with monthly, quarterly, and annual billing reports.
  • Generate billing reports and summaries for the Executive Team.
  • Maintain electronic billing databases and supporting documentation.
  • Assist in improving billing processes and procedures to increase efficiency and accuracy.

Compliance & Regulations

  • Ensure billing practices comply with all applicable state, federal, grant, and organizational regulations.
  • Maintain confidentiality of participant and financial information in accordance with HIPAA, FERPA and other applicable privacy regulations.
  • Maintain organized electronic and paper billing files for audit and compliance purposes.

Collaboration

  • Work closely with the Executive Team to support financial reporting and billing activities.
  • Collaborate with Program Managers to verify classroom services and billing documentation.
  • Communicate professionally regarding billing questions, discrepancies, and documentation requirements.
  • Provide administrative support related to billing and financial recordkeeping as needed.

Technology

  • Utilize Microsoft Office Suite, including Excel, Word, Outlook, and other organizational software.
  • Maintain accurate electronic billing records and reports.
  • Learn and effectively utilize organizational billing and data management systems.

Qualifications

Education & Experience

  • Associate's degree in Accounting, Business Administration, Finance, Education or a related field preferred.
  • Experience with billing, bookkeeping, accounting, or financial record-keeping preferred.
  • Strong organizational and time management skills.
  • Excellent attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office Suite, particularly Excel and Word.
  • Ability to analyze financial information and identify discrepancies.
  • Ability to work independently while collaborating effectively with multiple departments.
  • Experience working with nonprofit organizations, grant-funded programs, or workforce development programs is preferred.
