Job Details
Responsibilities
- Managing and maintaining all administrative tasks related to construction projects including data entry, invoicing, and purchase orders.
- Understanding and executing AIA contracts, ensuring all details are accurate and compliant with industry standards.
- Coordinating with project managers, suppliers, and contractors to facilitate smooth operations.
- Creating, updating, and maintaining comprehensive project databases and records.
- Handling supplier invoices, ensuring they are correctly processed and paid in a timely manner.
- Preparing, reviewing, and issuing purchase orders in line with project requirements.
- Assisting in the preparation of regular reports, summaries, and forecasts for senior management.
- Ensuring all administrative procedures and systems are efficient, up to date, and in line with current regulations and business requirements.
- Providing general administrative support including drafting correspondence, scheduling appointments, organizing meetings, and maintaining office supplies.
- Handling sensitive information with utmost confidentiality and integrity.
To be successful in this role, you will need
- A minimum of 5 years of experience in an administrative role in the construction industry.
- Proficiency in data entry, invoicing, and purchase orders.
- A solid understanding of AIA contracts.
- Exceptional organizational and multitasking skills, with the ability to prioritize tasks effectively.
- Strong communication skills, both written and verbal, with the ability to liaise with various stakeholders.
- Proficiency in Microsoft Office Suite, particularly Excel, and experience with construction management software.
- High attention to detail and a strong commitment to accuracy.
- The ability to work independently, as well as part of a team.
- A proactive approach to problem-solving and the ability to handle unforeseen situations with professionalism.
- A high school diploma or equivalent; a degree in Business Administration or a relevant field is a plus.
