Key Responsibilities & Duties
Serve as the first line of contact for customers and storage partners via phone and email, in a professional, customer-first tone
Document every interaction accurately and promptly in Freshdesk
Source and lease storage locations across the U.S. that meet customer business requirements, using internal CRM, web research, and outbound calls
Coordinate new and existing leases, lease transfers, vacates, rate adjustments, and access changes
Send proposals to customers for sign-off and follow through to execution
Manage Freshdesk tickets and emails within team SLAs and maintain active queue presence during business hours
Escalate non-standard or customer-impacting issues to senior coordinators or team lead with clear context and recommended next steps
Handle customer payment information securely — use secure file transfer (ShareFile), verify payment status before action, and maintain card hygiene (one card per space)
Keep records continuously updated across Monday.com, internal knowledge base, Freshdesk, CRM, and the customer portal
Process incoming mail and mail-related customer requests as part of daily team responsibilities
Participate in team meetings, share best practices, and provide backup coverage as needed
Qualifications Needed
Education: High School Diploma or GED required
Experience: Minimum 1 year in customer service, account coordination, leasing coordination, or sales (preferred)
Excellent written and verbal communication and interpersonal skills
Proven ability to thrive in a fast-paced, ticket-driven environment with strong attention to detail
Demonstrated discretion and reliability when handling sensitive customer or payment data
Proficiency in cloud-based project management and collaboration tools (e.g., Monday.com, Freshdesk, CRM platforms)
Ability to work independently and as part of a team
Willingness to occasionally work overtime during high-volume periods
Preferred: Background in self-storage, property management, logistics, or a tech-enabled operations environment; experience supporting customers through a new platform or portal rollout
