Position Summary
The Inventory Coordinator is responsible for ensuring the accurate management, organization, purchasing, and availability of parts and materials necessary to support transport refrigeration repair operations. This position maintains inventory accuracy, develops vendor relationships, controls purchasing costs, and ensures technicians have the parts they need to complete repairs efficiently. The Inventory Coordinator also manages inventory transactions within the Fullbay system and coordinates deliveries to job sites.
Inventory Management
· Monitor inventory levels to maintain adequate stock while minimizing excess inventory.
· Organize the warehouse, parts room, and storage areas for efficiency and accuracy.
· Receive, inspect, label, stock, and distribute incoming inventory.
· Perform routine cycle counts and periodic physical inventories.
· Investigate and resolve inventory discrepancies.
· Maintain proper storage and organization of parts, tools, and supplies.
Purchasing
· Purchase parts, equipment, and shop supplies based on inventory levels and operational needs.
· Generate and manage purchase orders through the Fullbay system.
· Track orders to ensure timely delivery.
· Expedite urgent or backordered parts when necessary.
· Ensure purchases align with company budgets and pricing expectations.
Vendor Management
· Establish and maintain positive relationships with vendors and suppliers.
· Monitor vendor performance, including pricing, availability, delivery times, and service quality.
· Compare vendor pricing and negotiate competitive costs whenever possible.
· Identify alternative suppliers when appropriate to improve cost savings or availability.
· Resolve vendor issues regarding shipments, invoices, shortages, or damaged materials.
Inventory System Administration
· Maintain accurate inventory records within the Fullbay system.
· Enter inventory receipts, adjustments, transfers, and purchase information.
· Ensure inventory data is current and accurate.
· Generate inventory and purchasing reports as requested by management.
Logistics & Delivery Coordination
· Coordinate Uber or other courier deliveries for parts needed at field job sites.
· Arrange pickups and deliveries with vendors as needed.
· May travel locally to pick up or deliver inventory, equipment, or parts when business needs require.
· Assist with shipping and receiving activities.
Operational Support
· Work closely with technicians, service advisors, and management to ensure parts availability.
· Communicate estimated arrival times for ordered parts.
· Help identify opportunities to improve inventory processes and reduce costs.
· Maintain a clean, safe, and organized inventory area.
Qualifications
· High school diploma or equivalent required.
· Previous inventory, warehouse, purchasing, or parts management experience preferred.
· Experience in the transportation, diesel, automotive, heavy equipment, or refrigeration industry is a plus.
· Proficiency with computer systems and inventory software; experience with Fullbay is preferred.
· Strong organizational and time management skills.
· Excellent attention to detail and accuracy.
· Strong communication and vendor relationship skills.
Physical Requirements
· Ability to frequently lift, carry, and move materials weighing up to 75 pounds.
· Ability to stand, walk, bend, stoop, reach, and climb throughout the workday.
· Ability to work in a warehouse and shop environment with exposure to varying temperatures.
· Valid driver's license with an acceptable driving record.
· Ability to travel locally as needed to pick up or deliver inventory and parts.
Working Conditions
· Warehouse and repair shop environment.

· Occasional local travel for inventory pickups and deliveries.
Pay: From $15.00 per hour
