Responsibilities
- Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly.
- Answer multi-line phone systems with excellent phone etiquette, directing calls accurately and efficiently.
- Manage front desk operations, including checking in guests, handling inquiries, and maintaining a tidy reception area.
- Perform data entry and filing tasks with precision, utilizing computer skills in Microsoft Office, Google Workspace, and other office software.
- Assist with calendar management and scheduling appointments for staff or clients as needed.
- Support office management by organizing documents, proofreading correspondence, and maintaining filing systems.
- Handle customer service inquiries via phone or email, providing helpful support or directing requests appropriately.
- Conduct basic bookkeeping tasks using QuickBooks or similar accounting software when necessary.
- Support administrative duties such as copying, scanning, proofreading documents, and managing office supplies inventory.
- Maintain a professional appearance and demonstrate excellent organizational skills to ensure efficient daily operations.
- Assist with special projects or personal assistant tasks to support team members' needs as required.
Qualifications
- Proven experience in an office environment or as a receptionist; clerical or administrative experience is highly valued.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills.
- Familiarity with multi-line phone systems and phone etiquette to handle calls confidently.
